See BelowThe Volunteer Services Youth Volunteer & Internship Coordinator is responsible for coordination and managing all aspects of the high school volunteer and intern programs at the Aquarium of the Pacific. The person in this role is instrumental in establishing the connection to our mission and effectively onboarding these applicants into our volunteer and intern programs. Thus this position requires exemplary interpersonal skills and the ability to welcome to the Aquarium individuals from all walks of life. This position also requires strong organizational skills to effectively perform administrative tasks for the Volunteer Services department. The Youth Volunteer & Internship Coordinator must be capable of processing a high volume of applicants in a timely, accurate and professional manner. This position reports to the Manager of Volunteer Services.

The Youth Volunteer & Internship Coordinator’s Responsibilities Include:

  • Conducting all initial correspondence by email, phone and fax with prospective volunteer/intern applicants; maintaining active communication with applicants through the entire onboarding process.
  • Coordinating VolunTEENs, Marine Science Academy, Service Learning, ROP and Senior Project volunteers.
  • Scheduling all prospective VolunTEEN applicants and VolunTEEN support team for interviews, meetings and trainings.
  • Conducting background checks on all applicants and determining eligibility for participation in the volunteer program.
  • Maintaining constant and effective communication with all departmental liaisons regarding the status of all volunteers/interns.
  • Ensuring that all volunteer/intern records, both paper and electronic, are current and accurate. Communicating with departmental liaisons when changes are made.
  • Planning and executing the annual neighborhood street clean-up utilizing youth volunteers.
  • Scheduling Service Learning Volunteers for events and maintaining program records.
  • Conducting all necessary training of youth volunteers and interns during the onboarding process including Aquarium101, MSA, and VolunTEEN training.
  • Performing duties associated with volunteer/intern recruitment and community outreach.
  • Managing a partnership with Saint Anthony High School and serving as the Aquarium lead/liaison for the Marine Science Academy program.
  • Working with the Manager of Volunteer Services and the Volunteer Services Coordinator as a team engaged in continuous process improvement.

Knowledge & Skills

  • Highly organized and detail oriented with strong administrative skills.
  • Ability to manage complex staffing programs for non-profit institutions.
  • Professional manner and ability to maintain confidentiality.
  • Must be able to successfully interact with a very broad range of individuals of varying ages, ethnicities, interests, experiences, socio-economic backgrounds, etc.
  • Highly skilled in MS Word, Windows and Excel.
  • Excellent written and oral communication skills. Must have the ability to compose clear and concise correspondence regarding the relevant subject matter.
  • Knowledgeable in the use and operation of a telephone, copier, fax machine, computer and A/V equipment.
  • Knowledge of volunteer management software, specifically, Volgistics.
  • Background in Marine Science strongly desired.

Qualifications

  • Ability to successfully onboard either paid or volunteer staff.
  • Proven staff management experience.
  • Administrative experience with volunteer programming strongly desired.
  • Prior volunteer or intern experience strongly desired.
  • Experience working successfully with high school and college aged students.
  • Must be willing and able to work some evenings, weekends and holidays.
  • Bachelor’s or Associate’s degree required.
