POSITION SUMMARY:

Conservation International (CI) is looking for an Executive Manager to support the Center for Oceans leadership, based in Honolulu, HI. The Executive Manager provides administrative and operational support to the Center for Oceans Senior Vice President, based in Honolulu, HI. The Executive Manager manages calendars and meeting schedules, makes travel arrangements, and provides support for center leadership meetings, events, and working groups.

The Executive Manager position requires a broad and comprehensive knowledge of CI’s policies, standard operating procedures and values. This position must have the ability to make independent judgments related to administrative matters and the ability to communicate effectively, both orally and in writing, with all levels of management both inside and outside of CI. This position requires excellent administrative skills, superior relationship-building skills, ability to multi-task and an ability to handle confidential and sensitive information with the highest degree of professionalism. This position serves as a liaison between the SVP and staff from all CI divisions, particularly the CEO’s office, Global Field Teams and other senior CI staff.

 

RESPONSIBILITIES:

Administrative Support to SVP, Center for Oceans:

Proactively support the SVP regarding all administrative matters within the Center for Oceans.

Manage and maintain SVP’s calendar, travel schedule and make travel arrangements.

Assist with the timely submission of timesheets, expense, travel and other reports for the entire division.

Develop, produce, and edit correspondence for the SVP, to include letters, memos, forms, policies and procedures (includes handling of confidential information).

Assist the SVP in the management of schedules and meetings.

Assist the SVP with managing communications, both internally within the Center and CI, and externally with a wide variety of constituents, including key partners, potential and existing donors.

Assist SVP in preparation for speaking engagements, including maintaining bio, list of publications, and other relevant information.

Assist in collecting and consolidating information for CI reporting requirements, including reports to the Board, quarterly reporting, annual planning documentation, and donor reporting.

 

Operational Support to SVP, Center for Oceans:

Coordinate regular meetings of the Center for Oceans staff and its leadership team.

Gather information and assist SVP in preparation for senior-level meetings, donor and partnership meetings, this includes drafting talking points and provision of briefing materials.

Assist in providing support to Ocean Health Council meetings and other important donor and partner meetings.

Proofread, edit and write documents as requested.

Coordinate and liaise with program leads to ensure cross-team collaboration and communications, maintain the center’s calendar and internal collaborative platforms (SharePoint sites).

Assist in coordinating, curating, developing, editing and providing input on communication materials produced by the center.

 

WORKING CONDITIONS:

This position is based in the CI office in Honolulu, HI.

Normal office environment.

Occasional work outside of normal business hours is expected, given the global nature of this position.

Occasional domestic and international travel expected.

 

QUALIFICATIONS:

Required

Bachelor’s degree.

3-5 years of related work experience.

Excellent organization and prioritization skills.

Resourcefulness and ability to work proactively and independently.

Ability to anticipate needs of others and to take initiative to make progress on activities and projects.

Force of presence and influence skills: ability to accomplish complex assignments requiring cross-organization cooperation. Ability to motivate teammates.

Preferred

Education or prior work experience in natural resource management or conservation-related field.

Some training or proficiency in any of the following CI operating languages: French, Spanish, Portuguese, Indonesian.
