Position description:

The Seattle Aquarium is looking for a part-time grant and administrative coordinator (GAC). This position will work as the primary project manager for the Expanding Empathy for our Marine Environment (EEME) grant-funded project. Using the work plan submitted to the grantor as a foundation, the GAC will develop and manage an adaptive plan to accomplish the established outcomes of the five interrelated projects that
make up the EEME grant. The GAC will serve as a coordinator and facilitator for the five project leads, assuring that activities associated with each project are efficiently and collaboratively carried out according to pre-established timelines. Duties include setting and facilitating meetings at the project and grant level, interfacing with other Aquarium departments and stakeholders, monitoring spending, coding invoices for accounting, processing changes to project activities and expenses, and working with the philanthropy department
on grant reporting.

The GAC will also work with the director of conservation engagement and learning to accomplish administrative tasks including meeting
scheduling, credit card management and invoicing, travel planning and department reporting. Up to 70% of work time will be spent on grant-related responsibilities; the remaining 30% will be devoted to administrative duties.

Essential functions (70% grant coordination, 30% administrative work)

  • Learn and become fluent in the details and requirements associated with the Expanding Empathy for our Marine Environment (EEME) grant, including activities, budget, timelines and reporting requirement.
  • Schedule and facilitate regular meetings of the project leads and assist with meeting management at the project level as available.
  • Monitor grant and project timelines, working with the director of conservation engagement to keep project activities on track.
  • Monitor overall grant spending and record keeping, working with the director on any changes or variances.
  • Work with director and philanthropy department to proactively address changes to activities, timelines or spending. Monitor areas of risk regarding timelines or budget.
  • Work with director and philanthropy department to document deliverables and coordinate grant reporting.

 

Additional responsibilities:

  • Assist director with scheduling and management of meetings and travel.
  • Assist director with credit card and invoice management.
  • Coordinate empathy workshop scheduling, communication and travel.
  • Coordinate department statistics and reporting including CEO reports and annual program results.
  • Work with director and department managers to coordinate interdepartmental and intersectional activities and resources to reduce conflicts and increase collaboration, as available.
  • Coordinate other small grant activities, as available.
  • Contribute through professional conduct to a working environment that is energetic, innovative and collaborative.
  • Perform other related duties of a comparable level/type assigned.

Experience, education and certifications:

We will consider various combinations of relevant experience and education in order to meet minimum requirements.

Required:

  • Two to three years’ experience in project management.
  • One to two years’ experience managing budgets.
  • B.A./B.S. degree, type or equivalent combination of education and experience.

 

Preferred:

  • Three to five years’ experience in project management; grant management a plus.
  • Washington driver’s license for local travel to off-site meetings.

 

Working conditions:

  • Must be willing to work flexible hours including days, evenings and weekends in support of project deadlines.
  • Ability to perform light physical activity including occasional extended periods of time spent sitting, walking and standing.
  • Majority of work is performed in a normal office setting at a computer workstation for the duration of your shift; semi-private work area.
  • Frequent interruptions; walking, standing, sitting for extended periods of time.
  • Some exposure to elements as employees are located in campus environment with multiple buildings, outdoor and semi-covered areas.

 

Pay and benefits:

$20–$25/hour, D.O.E. Please include pay expectations in your materials.
