The Water Resources (WR) program within the Department of Ecology is looking to fill a Water Resources Administrative Assistant (Administrative Assistant 3) position. This position is located in our Northwest Regional Office (NWRO) in Bellevue, WA.
The Water Resources Administrative Assistant position serves as the principal assistant to the Water Resources (WR) Northwest Regional Office Manager and offers broad support to the 20-person Water Resources section. This position provides independent and high-level confidential administrative support and oversees elements of day-to-day office management.

Duties
The mission of the Water Resources (WR) program is to manage water resources to meet the current and future needs of the natural environment and Washington’s communities.
Some of the key work activities of the Water Resources Administrative Assistant position are:
- Independently provides high-level confidential administrative support for the Water Resources Program (WR) Northwest Regional Office section manager and offers high-level administrative support to a 20-person section.
- Independently maintains and coordinates section manager’s calendar and schedule.
- Uses independent judgment to evaluate requests for executive correspondence or information directed towards the section manager, program manager, or other senior Ecology managers.
- Schedules meetings for Section Manager and staff using online conference room scheduler and set-up conference call and video conferencing/webinars.
- Acts as the Human Resource (HR) liaison for the section with regard to section recruitment, hiring, and HR paperwork flow and process.
- Has delegated authority for purchasing office supplies and equipment, making travel arrangements, and representing the section manager in select management-level meetings.
- Provides important administrative functions, including screening calls and visitors, reviewing and distributing mail, and processing and tracking travel reimbursements.
- Follows agency standard and good business practices to compose and/or format and finalize correspondence Manager or staff signature.
- Administratively processes new and change water right applications for accuracy, completeness and compliance with code.
- Serves as the coordinator for the section’s public disclosure requests and responses and works with staff and Central Records to ensure complete and timely responses are made.
- Is an active member of the Water Resources and Northwest Regional Office administrative teams.

Qualifications
Required Qualifications:
High school graduation or GED
AND
Three (3) years of progressively responsible experience in office/clerical, secretarial, bookkeeping, accounting, or general administrative work.
OR
Formal education will substitute year-for-year for experience.
Desired Qualifications:
- Interest in water resources issues and environmental management.
- Proficient in the use of computers and software, including: Outlook Calendar, Microsoft Word, Excel, Access and PowerPoint to organize work and create, format, and edit a variety of products and presentations.
- Ability to proofread and finalize formal documents with a high degree of accuracy. This includes proofreading and editing written material, identifying and correcting errors in grammar, improving clarity, composition, flow, organization, content, punctuation, and spelling.
- Organized and able to keep track of multiple activities which include the ability to prioritize and perform multiple tasks in the same timeframe, handle interruptions appropriately, and return to incomplete tasks.
- Ability to be discreet and maintain confidentiality, including the management of confidential information.
- Take initiative to do work without prompting.
- Maintain high degree of accuracy in multiple forms of communication.
- Effectively communicate with and assist upset, confused, demanding, or otherwise difficult clients, and customers.
