The Program Coordinator is primarily responsible for making sure program logistics run smoothly. The role will involve coordinating logistics and supplies both at the office and off site at our nonprofit partners in a variety of indoor and outdoor locations.
We are looking for someone who can:
•Work on multiple projects at once, including coordinating supplies, vendors, volunteers, and timelines, with a high level of attention to follow-through and details
•Build and maintain relationships with nonprofit, corporate, and vendor partners
•Adapt to change, work through set-backs and challenges, and creatively solve problems as they arise
•Be committed to carrying out our anti-racism strategic plan and continuing your personal anti-racism journey
We are a small team that works together to make big projects happen. Everyone on the team is expected to build relationships within the organization and with our external partners.
RESPONSIBILITIES
Volunteer Calendar: Work in our Salesforce database to review and approve website postings submitted by our nonprofit partners (10%)
•Work with new nonprofit partners to register in our system and assist with any challenges with posting volunteer opportunities
•Answer questions from nonprofit partners and volunteers about our volunteer management database and website
Seattle Works Day: Ensure Seattle Works Day, our annual volunteer day, runs smoothly (35%)
•Lead implementation of event logistics and timeline
•Work with the team to make sure all staff are doing their part to move the event forward
•Communicate event information with volunteer leaders
•Collaborate with Communications & Events Coordinator on event communications and community celebration event
Custom Projects: Work with corporate and nonprofit partners to organize large-scale volunteer events (35%)
•Create timeline and structure for the project
•Order, organize, and transport supplies
•Hire vendors as needed
•Complete pre-event and post-event communication and evaluation
•Work at the office and off-site at a variety of indoor and outdoor locations
Team Works: Coordinate logistics for Team Works, our volunteer league (10%)
•Match volunteer teams with projects requested by nonprofit partners
•Communicate with volunteers and nonprofit partners about scheduling, materials, and other logistics
•Collaborate with Communications & Events Coordinator to recruit participants
Program & Organization Support: Help on other events and projects as needed (10%)
•Assist with logistics for The Bridge: Board Training and Full Impact: POC Meet- Up and maintain program data in Salesforce
•Build relationships with nonprofit partners through joining a local coalition that relates to your interests
•Attend outreach events as needed
•Support program planning and evaluation as needed
•Support Swank, our annual gala, & other organization events
QUALIFICATIONS
Required Knowledge, Experience, and Skills
•Understanding of systemic racism and commitment to anti-racism work
•Lived and/or professional experience that will help Seattle Works live our value of building a diverse and welcoming community
•Able to work on multiple projects at once with a high level of attention to follow- through and details
•Able to communicate clearly with staff members and feel comfortable delegating tasks to everyone in the organization for a specific project or event
•Able to build and maintain collaborative relationships with staff team, community & business partners, board members, volunteers, and program participants
•Able to problem solve in the moment and be comfortable with change
•Experience working with databases or willingness and ability to learn new technology
•Able to work both independently and with a group
•Open to working approximately 7 Saturdays throughout the year and some evenings as needed, with advance notice
•Valid driver’s license and comfort with driving a van or box truck
•Proficient in English
Preferred Knowledge and Experience
•Experience in nonprofit sector
•Experience coordinating events
•Experience with volunteer management
•Experience with the following software and applications is a plus: o Salesforce
o Microsoft Office

COMPENSATION & BENEFITS
The compensation is $24.04 per hour, which is equivalent to $50,000 per year when working 40 hours per week.
