General Job Description
The Events & Communications Coordinator is a key member of the Washington State Recycling Association, responsible for supporting WSRA’s events, including the 4-day annual conference & trade show, silent and live auctions, golf tournament, awards banquet, and 5-7 educational workshops; developing and executing a marketing strategy; and managing member communications.
This is an excellent opportunity for a detail-oriented, highly organized self-starter to learn the full breadth of event planning and marketing with an educational nonprofit. This full-time position is part of a 2-person staff team. The Coordinator will report to the Executive Director and work closely with the association’s volunteer leadership to develop and implement strategies to advance WSRA’s mission with internal and external audiences.
Responsibilities
Event Planning (40%)
- Manage communications with all attendees before, during and after events.
- Create and distribute all event-related marketing materials.
- Build a list of potential corporate and local sponsors, and solicit sponsorships in conjunction with Executive Director and Board of Directors.
- Collaborate with the program team to manage student attendance and participation.
- Direct on-site logistics and supervise volunteers.
- Track, record and follow-up on all donations made before, during, or after fundraising events.
- Send invoices, receipts, and thank you letters to sponsors, speakers, event attendees, etc.
- Maintain a record of event statistics and archive of events for the website.
- Maintain a list of testimonies and stories of program impact.
- Maintain a photo and video library.
Communications (30%)
- Create and distribute weekly email blasts, press releases, program brochures, and other publications, ensuring their design reflects WSRA’s professional brand and key messages.
- Develop and implement a marketing plan in support of all events.
- Manage email and social media campaigns and updates as related to event promotion, appeals and announcements.
- Assist in the development of social media strategy.
- Support the creation and implementation of WSRA’s quarterly newsletter, writing and reviewing articles, managing the production timeline, and promoting to media outlets.
- Support the development and distribution of marketing and fundraising materials.
- Regularly update and maintain the WSRA website and online member community.
Member Services (20%)
- Write and distribute quarterly membership dues letters and invoices.
- Serve as the point of contact for members, and respond to requests and questions from potential members and sponsors.
- Supply timely assembly and delivery of new member packets to new members.
- Work with the Executive Director to create and manage members-only features of the WSRA website, including the membership directory, forums, and networking features.
- Work with the Executive Director to produce the Annual Report.
- Maintain membership database.
Special Projects (10%)
- Assist with daily administrative duties, including but not limited to answering phones, processing mail, filing, general correspondence, and overall office maintenance and organization.
- Support board engagement including board communications and board meeting prep.
- Provide assistance to callers with questions regarding recycling programs and drop-off locations in Washington State.
- Occasionally staff booths at community outreach events.
- Other projects, some of which may be determined based on the Events & Communications Coordinator’s areas of interest.
Qualifications & Characteristics
- 1-3 years of relevant experience (event planning, marketing and communications, fundraising, etc.), preferably in the nonprofit sector
- Bachelor’s degree in a relevant field
- Strong organizational skills and excellent attention to detail
- Demonstrated ability to prioritize tasks, organize information, work independently, and use good judgment
- Excellent verbal and written communication skills
- Excellent interpersonal and customer service skills
- Knowledge of social media marketing strategies
- High level of proficiency in Microsoft Word, Excel, and PowerPoint required. Preference will be given to candidates who also have basic knowledge of the Adobe Creative Suite, HootSuite, and WordPress.
- Some graphic design experience
- Aptitude for learning new software tools
- Ability to relate to people of diverse backgrounds & cultures
Salary & Benefits
Salary range: $32,000 – $35,500. Benefits include 2 weeks’ vacation to start, contributions to health insurance premiums, a flexible work schedule (opportunities to work remotely, etc.), and professional development opportunities.
