DEFINITION:
The Community Outreach Coordinator is responsible for the administration of the Scholarship Program (TSP) and planning, organizing and coordinating a variety of special events, education and/or social programs in support of the park district’s community outreach efforts. This position provides a variety of customer service support, including Spanish language communication with members of the public, not only within the Administration Office but also to other departments and facilities within THPRD as requested. Coordination and processing of sensitive and confidential information is essential to this position.

Supervision Received and Exercised

This position receives supervision from the director of Communications & Outreach and exercises limited supervision over assigned full-time and part-time staff.

ESSENTIAL JOB FUNCTIONS:

Administer THPRD Scholarship Program, processing paperwork and working with applicants on the phone, in person, and via email (including some applicants who speak only Spanish). This position approves applications based on THPRD guidelines and generates monthly reports on the TSP.

Represent THPRD to the public, making presentations to schools and staffing information tables at community events and local businesses as needed. Serve on committees of strategic interest to THPRD and make recommendations to management based on knowledge gained. Support the park district’s ongoing efforts to increase diversity/equity.

Help implement the district’s diversity outreach plan. Help monitor and evaluate effectiveness in meeting established objectives and participate with management in developing program goals, policies and procedures.

Assist in the development and distribution of publicity materials for community outreach activities, events and programs.

Coordinate the district’s outreach activities with other community and public agencies as appropriate. Serve as liaison to program committees, private industry, the community and other public agencies.

Conduct public relations and outreach activities; recruit volunteers; and provide program information to the public, community groups and agencies.

Prepare and enter departmental updates into content manager for the park district’s website and answer public inquiries received electronically.

Coordinate with other management on requests from nonprofit organizations and distribute donations.

Manage memorial bench and tree program.

Provide backup support for the front desk, covering breaks, lunches and vacation time. Manage scheduling of front desk.

Provide excellent internal and external customer service. Create a positive experience for customers through professional and courteous behavior and creative problem evaluation and solving.

Practice safe work habits and contribute to the safety of self, co-workers and the general public.

Support and respect diversity in the workplace.

Other Job Functions

Serve on a variety of internal and external committees and task forces.

Attend staff meetings as required.

QUALIFICATIONS:

Knowledge of:

Advanced understanding of applicable software and computer operations in a network environment.

Business English, spelling, punctuation, letter writing report generation, record keeping and mathematics.

Excellent written and verbal proficiency in Spanish and English. Proficiency in additional languages is helpful.

Ability to:

Collect, compile and analyze information and data.

Correctly interpret and apply the policies and procedures of the function to which assigned.

Understand the organization and operation of the district and outside agencies as related to assigned responsibilities.

Assume a schedule of flexible working hours, including weekends and evenings.

Maintain a neat, professional appearance.

Operate a variety of office equipment, including copy machine, phone system, computer, typewriter and adding machine.

Perform basic fundamental calculations, post/track transactions.

Communicate courteously and cooperatively with other staff and the general public, on the telephone or in person, including handling difficult or irate people.

Establish and maintain effective working relationships with supervisor, other staff members, program participants and the general public.

Speak clearly and concisely in English and Spanish, both verbally and in written form.

Licenses, Certificates, and other Requirements

Bilingual in English and Spanish required. Fluency in multiple languages a plus.

Valid Oregon driver’s license and good driving record.

Salary:
$4,329 – $5,483
