Job description

We are looking for a well-rounded individual as Development Assistant to be involved in all facets of Feet First’s fundraising, event planning and operations to join our growing team in the Nord Building. This position is half-time (20 hours/M-F)
Feet First is located in the Pioneer Square neighborhood of Seattle. Occasional nights/weekends for select committee meetings and events is required. Feet First offers a pleasant, open, energetic environment with dedicated, good natured professionals. The Development Assistant reports to the Executive Director and supports the work plan of the Development Committee, which is made up of three subcommittees: Special Events/Sponsors, Individual Donations, and Grants.

QUALIFICATIONS
• Bachelor’s degree; may be substituted by experience.
• At least two years prior administrative experience, preferred in fundraising.
• Prior experience with Salesforce preferred or similar donor database.
• Proficiency in Microsoft Office (Word; Excel; PowerPoint) required.
• Excellent organizational skills and attention to detail.
• Ability to meet deadlines, while managing multiple projects.
• Ability to work both independently and in a team.
• Excellent interpersonal skills.
RESPONSIBILITIES
1. DATA ENTRY AND DONATION PROCESSING
a. Assistant is primary point person for updating, adding and maintaining donor, and prospect constituent records in the Salesforce database.
b. Responsible for gift entry process. Includes copying checks, tracking monthly batches, and assisting in running financial reports, and reconciling deposits.
c. Codes and tracks general donations, tributes, membership, and workplace gifts.
d. Uploads online transactions (sign ups, profile updates, donations, and event registrations) from online giving systems.
e. Assist with creation of donor lists and other gift queries and reports.
f. Filing all donation-related paperwork and maintaining organized online/paper filing systems.
2. DONOR and VOLUNTEER RELATIONS
a. Manage donation acknowledgement process (sending monthly and annual thank you notes and special processing).
b. Answer phone and email inquiries regarding donations/sponsors and material requests.
c. Scheduling meeting with volunteer prospects.
d. Updating website with volunteer and event information.
3. BUDGET TRACKING and CHECK REQUESTS
a. Create, route, and file accounts payable check requests.
b. Track department expenses in budget monitoring system.
c. Assist executive director and project staff with budget reconciliation.
4. MAILINGS and MAIL LIST MAINTENANCE
a. Perform database maintenance and work with consultant on clean-up project to improve data integrity and database performance.
b. Perform mail merges and assist with solicitation and other mailings e.g. events, appeals.
c. Post mailings or work with mail house or volunteers to ensure time sensitive mailings are sent.
d. Run monthly donor renewal letters.
5. CAMPAIGNS/EVENTS
a. Coordinating all aspects workplace (Microsoft, King County, United Way, etc.) campaigns, including annual applications and pledge tracking and donor acknowledgments.
b. Provide administrative support for SPECIAL EVENTS (e.g. WALKABLE WASHINGTON SYMPOSIUM, WALKTOBER), including assisting with mailings, phone inquiries, in-kind gift tracking and other clerical duties as designated by project managers.
c. Assist with general clerical support and other duties as assigned by the Executive Director.
