Administrative Assistant 2
We are recruiting to fill one (1) part-time, permanent Administrative Assistant 2 position within the Director’s Office, located at 2315 North Discovery Place, Spokane, WA.

We are looking for a hardworking and reliable team player who is ready to work with a very talented, dedicated group of employees! The primary purpose of this position is to provide administrative and customer support to Region 1 Wildlife, Fish, and Habitat Program Managers and their respective staff to relieve them of day-to-day administrative duties.

DutiesThis position provides paraprofessional support to Region 1 Wildlife, Fish, and Habitat Program Managers by:

  • Managing email and calendar communication for Program Managers using confidentiality
  • Authorizing and processing bills
  • Scheduling, coordinating, setting up and paying for meeting rooms and equipment
  • Developing presentation material for meetings with general direction
  • Taking meeting notes
  • Creating and maintaining electronic filing systems and databases
  • Processing fish plants, field trials, staff paperwork, and numerous forms and documents for Regional Program Managers
  • Keeping directories updated with program personnel
  • Ordering uniforms, equipment and supplies for staff
  • Entering mileage, travel, purchasing card for Regional Program Mangers

Qualifications
Required Qualifications:
A GED or high school diploma; AND three years of responsible experience in office/clerical, secretarial, bookkeeping or general administrative work
OR a Bachelor’s degree AND one year of experience providing office assistance and administrative support
OR equivalent experience providing office and administrative assistance.

  • Strong organizational skills, time management and self-management skills.
  • Professional communication and inter-personal skills.
  • Ability to work with a wide range of individuals.
  • Ability to remain productive despite interruptions and multiple projects.
  • Results-driven and self-starter.
  • Skillfully type when composing letters, memos and emails or performing data entry work.
  • Professional office experience.
  • Comprehensive working knowledge of Microsoft Word, Excel, Power Point and Outlook to manage and track document, reports, spreadsheets, databases, etc.
  • An interest in working with natural resource issues, knowledge of Washington Fish and Wildlife species and recreational and commercial activities.
  • Able to effectively manage workload while remaining organized and efficient.
  • Be results-oriented and maintain effective working relationships.
  • Transition smoothly between tasks.
  • Ability to maintain confidentiality of information accessed or discussed in performing the work of this position
  • Reliable and on time.

Supplemental InformationWorking Conditions:
Work Setting, including hazards: Duties are performed in a busy office setting.  This position requires extensive computer use and sitting. Incumbent must be able to work amid distraction.

Schedule (i.e., hours and days): This position is a minimum of 20 hours per week; may be more during heavy workload periods; flexible work schedule during core business hours

Travel Requirements: Some travel may be required throughout the State to attend training, meetings, and conferences

Tools and Equipment: Computer and appropriate software programs; VoIP telephones, radios, projectors, video conferencing equipment, cell phones, internet access as well as Wi-Fi; business hub printer/fax/copier/scanner and postage meter.

Customer Interactions: Customer service is integral to department success.  Works with both internal and external customers daily.

Other: The employee will be called on to respond to a variety of requests while working alone and managing multiple projects.  The employee must be flexible and able to adjust competing priorities.
