Receptionist (Bremerton)

The Girl Scouts of Western Washington (www.GirlScoutsWW.org<http://www.GirlScoutsWW.org>) is currently seeking a part-time Receptionist for our Peninsula Girl Scout Program Center to handle phone calls, greet visitors and provide basic support to our regional team from 10am to 4pm Monday through Thursday. If you have experience handling light front desk responsibilities and want to work with staff dedicated to serving our girls and volunteers we want to hear from you! This is a part-time, non-exempt position with excellent benefits that include medical, dental, vision, 403(b) and paid leave.

Essential Functions:
Primary
Ensure the courteous and efficient reception and referral of incoming calls and visitors is handled with an emphasis on ensuring an exemplary customer experience.
Troubleshoot needs, questions, and issues from volunteers and the public by providing accurate, helpful information about the organization’s programs, processes and opportunities. Refer questions to appropriate staff and outside resources when needed in a manner that is consistent with an exemplary customer experience.Provide administrative support to Community Development and Troop Program staff, including participation in staff meetings, preparing marketing material, recruitment kits as well as scanning, faxing and mailing applications and information to the Volunteer Services Department.
Support Community Development staff by verifying membership of volunteers and girls and follow-up for all incomplete membership leads.
Process and route paperwork to the appropriate individuals or departments and enter leads into Business Contact Manager/SharePoint databases.
Maintain optimal office operations by ensuring ample shelf supplies of printed materials, forms and office supplies, providing references to websites for commonly asked questions, and maintaining office equipment.
Provide direct administrative support to the Regional Director of Community Development.
Secondary
Manage lending system for the resource library, audio-visual material and programs equipment including check-out system, maintenance of equipment and requesting return of overdue materials. Reserve, checkout and replenish all program equipment.
Handle reservations for use of meeting room(s) and Port Townsend Scout House, include the preparation and clean-up of meetings and events at the Peninsula Program Center.
Maintain organization and cleanliness of waiting area, library, equipment depot, and front entry of the building.
In addition to the above, perform other duties as assigned.
Qualifications:
* High school diploma or equivalent, AA preferred. Two years’ experience in a front office administration position.
* Proficient in Word, Excel, Outlook and Access or other database programs. Previous CRM experience preferred.
* Demonstrated ability to multi-task, prioritize deadlines, trouble shoot, work independently, take initiative and maintain confidentiality.
* Knowledge of Girl Scouts preferred.
* Demonstrated success in providing an excellent customer experience strongly preferred.
* Strong interpersonal skills to ensure effective interactions with individuals at all levels and backgrounds
* Satisfactory results from criminal background search
* Willing to Maintain Girl Scouts membership
