JOB SUMMARY:  This position provides overall administrative support to the Hunger Action Center Director and the Seattle Food Committee, is responsible for monitoring the State of Washington Emergency Food Assistance Program (EFAP) contracts, and staffs a telephone referral line which provides resource information pertaining to Seattle/King County food banks and hot meal programs.

 

ESSENTIAL RESPONSIBILITIES, DUTIES AND TASKS:

 

30%     Provide staffing and technical assistance for the Seattle Food Committee (SFC), a coalition of Seattle food banks, along with limited support services to local meal programs in accordance with City contract. Attend monthly Executive, General and Sub-Committee meetings. Work closely with Hunger Action Center Director and coalition members to coordinate special events, workshops, and trainings. Record, prepare, and distribute monthly meeting minutes and calendars. Design and produce brochures, flyers, surveys and other materials using desktop publishing or web-based software. As needed, draft and edit correspondence, assist in advocacy efforts on behalf of the coalition;

 

20%     Coordinate and maintain EFAP subcontracts, including processing monthly reports and requests for reimbursement from 27 food bank subcontractors, ensuring contract compliance and providing technical assistance pertaining to EFAP policies and procedures.  Maintain correspondence, prepare and provide information for special funding contracts. Conduct biannual site visits to each food bank in coordination with Hunger Action Center Director;

 

15%     Develop and maintain coalition’s website and social media presence in coordination with the coalition’s Communications Sub-committee. Coordinate and post content, share information and keep online food bank referral map up to date;

 

10%     Conduct monthly accurate data entry of food bank statistics. Develop reports, fact sheets and presentations from data to assist in proposal development, funding reports, and to provide information to government, media, and other individuals and organizations interested in Seattle’s emergency food system;

10%     Oversee general administrative tasks for the program. Compose and edit narrative reports, correspondence, memos, and other documents for Food Resources and the Seattle Food Committee. Update and maintain files. Prepare and submit check requests for program expenses;

 

5%       Serve as an information clearinghouse for coalition members through daily communication.

Develop and maintain positive interpersonal relationships with a variety of people, including coalition members, other social service agencies, governmental staff, vendors, and the general public in order to facilitate coordination of services among local emergency food providers and to increase public understanding of hunger in Seattle;

 

5%       Staff emergency food referral line, providing information and referrals over the phone to other social service agencies and to the public. Be knowledgeable and up to date about food banks, relevant community food and nutrition resources, and other social services in Seattle and King County;

 

5%       Participate in program, department, and agency meetings and relevant trainings as required.

EDUCATION and EXPERIENCE:

 

Requires one of the following:

 

(a)     Three years of administrative experience in a social service, community service or related office setting; OR

(b)    Bachelor’s degree and one year of administrative experience in a social service, community service or related office setting; OR

(c)     Any combination of education, experience and measurable performance, which demonstrates the capability to perform the duties of this position.

 

 

 

 

 

MINIMUM QUALIFICATIONS:  

 

  • Detail-oriented with strong organizational skills and ability to meet deadlines;
  • Excellent communication skills, both oral and written. Experience drafting correspondence for a variety of different audiences under tight deadlines;
  • Highly proficient with MS Office software including Word, Excel, Publisher, Outlook; Ability to interpret data to create reports and other informational materials;
  • Experience with web design software and social media platforms;
  • Ability to type 50 WPM;
  • Proven ability to accurately maintain contracts files and program databases;
  • Ability to work individually in a self-directed manner and as part of a team in group projects;
  • Self motivated with the ability to problem solve and enhance work projects;
  • Ability to prioritize and handle multiple tasks under stressful conditions and to accept work assignments from various staff members;
  • Valid driver’s license, and willingness to drive as needed throughout King County;
  • Experience working with people from a variety of racial, cultural and economic backgrounds, with various lifestyles, sexual orientations, and of all ages;
  • Ability and willingness to work evenings and weekends (approximately 1 time per month) for the purposes of coordinating trainings and attending conferences and community meetings.

 

 

PHYSICAL DEMANDS/WORKING CONDITIONS:  This position works performing general office duties.  Employees spend 60% of their time working on the computer and administrative tasks such as answering phone, copying, filing, reports and 40% of their time and attending outside meetings or training.  Position requires employee to lift/carry up to 20 pounds rarely, 5-10 pounds occasionally and push/pull 10 pounds seldom, 1-5 pounds frequently.  Position has the ability to sit/stand as needed.

 

HOURS & COMPENSATION:  This is a full time union position paying $15.95 per hour plus benefits.  Benefits include earning 16 hours per month of paid personal leave to start, medical, dental, short-term and long-term disability insurance, 11 paid holidays, employer contributed 401K pension plan and tax-sheltered health care and dependant care accounts.
