RSVP Program Coordinator
Type:                          Part-time position (19 hours/week)

Reports to:                RSVP Program Director

Hours of Work:          Flexible ~ Prefer Monday through Friday, approx. 4 hours per day

United Way of Thurston County (UWTC) is seeking an energetic, self-motivated, detail oriented program coordinator to join the Retired and Senior Volunteer Program (RSVP) program team.  This position will perform a variety of public relations and administrative duties, respond to inquiries about the RSVP program, and have daily contact with everyone on the UWTC team plus scores of volunteers.  In addition, the incumbent will enter and retrieve data to/from multiple electronic processing systems.

The RSVP program is new to United Way and in the early stages of development. The successful candidate will be comfortable with developing and documenting new practices and procedures. This person must possess exceptional organizational and time management skills.  The successful candidate will be someone who has the ability to work in a fast-paced environment and takes pride in providing first-class customer service to volunteers, United Way staff, and other stakeholders in the community. Accurate data entry and attention to detail is critical. We are looking for someone who is an out-of-the-box thinker; someone who is willing to develop and streamline work processes, wants to work on new programs that are still in development, and enjoys working with a small team of nonprofit professionals committed to the common good.

Essential  Duties (95%)

Manage large volunteer database, entering confidential information

Prepare reports

Update volunteer records

Update volunteer station records

Manage correspondence

Process contracts (Memorandum of Understanding)

Process volunteer expense reimbursements

Coordinate and organize meetings and events

Assist with outreach and public speaking engagements

Handle large volume of phone calls and emails

Handle large mailing projects

Provide backup support to Program Director

Additional Duties (5%):

Undertake research and special projects as requested.

Other duties as assigned

Knowledge, Skills and Abilities Required:

Strong orientation to volunteer service

Excellent oral, written and interpersonal communication skills

Strong writing skills

Working knowledge of basic office equipment

Computer experience in Windows platform

Ability to learn volunteer database software

Exceptional time management skills

Ability to multi-task and organize workload

Ability to maintain confidential information

Desired Qualifications:

Non-profit experience

Experience with new program start up activities

Comfortable working with volunteers over age 55

Available for occasional evening or week-end special events

Finance Assistant/Office Assistant

Type:                          Part-time position (19 hours/week)

Reports to:                Director of Individual Giving

Hours of Work:          Flexible ~ Prefer Monday through Friday, approx 4 hours per day

United Way of Thurston County (UWTC) is seeking an energetic, self-motivated, detail oriented finance assistant to join their team.  This position will be a part of the support team for the organization, providing support to the finance office as well as general office support.  This position will perform a variety of finance and administrative duties, respond to inquiries concerning office and departmental services and procedures, and have daily contact with everyone on the UWTC team plus scores of volunteers.  In addition, the incumbent will enter and retrieve data to/from multiple electronic processing systems.

Essential Duties:

Finance (80%):

Manage donor database, entering pledge and gift information.

Create tax receipts and thank you letters.

Generate reports and mailings.

Update constituent records.

Process credit cards and enter into database.

Provide backup support to Finance Department.

Prepare bank deposits.

Serve as backup for Accounts Receivable/Accounts Payroll duties.

Serve as backup for processing payroll.

Assist with monthly reconciliation.

Assist with special projects:

  • Budget
  • United Way reports
  • Designation process (research, create memos, data entry)

Office Assistant (15%):

Order office supplies, including; tracking expenses.

Manage activity with vendors, i.e. copier, rental agreements

Maintain office technology.

Maintain correspondence, incoming calls, filling and record keeping systems.

Additional Duties (5%):

Undertake research and special projects as requested.

Other duties as assigned.

Knowledge, Skills and Abilities Required:

Two year college degree with accounting coursework.

Excellent oral and written communication skills.

Excellent mathematical skills.

Working knowledge of basic office equipment.

Computer experience in Windows platform.

Ability to learn Microsoft Access & donor database software.

Cash handling experience.

Desired Qualifications:

Database and IT experience.

QuickBooks experience.

Non-profit experience.

Community Engagement Coordinator VISTA
Type:                          Full time (40 hours/week)

Reports to:                RSVP Program Director

Hours of Work:          Flexible, M-F 9:00am – 5:00pm, occasional evenings and weekends

This is a one-year AmeriCorps*VISTA position. VISTA member will receive a modest living stipend of $858 per month, health Insurance, life Insurance, choice of $5,550 education award or $1,500 cash stipend at the end of the term, and relocation allowance if moving over 50 miles to serve.

United Way of Thurston County (UWTC) is seeking an enthusiastic, self-motivated individual to champion volunteerism, help launch a new volunteer program and recruit and train volunteers for a variety of programs. We are seeking someone outgoing and excited about volunteerism who enjoys working with others and would excel at recruiting, training and motivating volunteers. The VISTA will promote volunteerism through United Way of Thurston County and will recruit and train volunteers for the Retired and Senior Volunteer Program (RSVP), VITA sites (free tax preparation), Community Investment funding panels (volunteers who review grant applications and make funding recommendations), Voices of Youth,  Day of Caring (a county-wide day of volunteer service), and United Way office volunteers. The VISTA will create procedures, systems and training manuals that will sustain the volunteer program after their year-long term of service has ended.

Duties

  • Recruit and train volunteers for RSVP, VITA (free tax prep) sites, Community Investment funding panels, Voices of Youth, Day of Caring and United Way office volunteers.
  • Create volunteer orientation manuals, training curriculum and recruitment materials for use during their term of service and beyond.
  • Give presentations on volunteerism to service clubs, at meetings and public events, and staff table at community events to recruit volunteers.
  • Assist United Way staff in planning and presenting a public learning session on community needs
  • Assist in coordinating Day of Caring 2011 and plan Day of Caring 2012.

Knowledge, Skills and Abilities Required:

Enthusiasm for volunteer service

Excellent oral, written and interpersonal communication skills

Ability to use Microsoft Office Suite, particularly Word, Excel and Outlook

Ability to learn volunteer database software

Ability to multi-task and organize workload

Be a positive representative in the community of the organization and its mission

Available for occasional evening or week-end special events

The ability to motivate and encourage individuals.

Public speaking ability

Minimum Associates degree or 2 years experience in the non-profit field.

Own vehicle or means of transportation (VISTA will be reimbursed for mileage)
