The Girl Scouts of Western Washington (www.GirlScoutsWW.org<http://www.GirlScoutsWW.org>) is currently seeking a full-time Program Registrar to join our registration team. The Program Registrar will support the program registration process for girls and volunteers participating in events, programs, courses, activities, camp and site reservation. The position requires a strong sense of customer service and a willingness to handle a broad range of events and activities. A successful Program Registrar serves as a wonderful resource to our girls and volunteers by guiding them through the registration process, directing them to the appropriate course or event and answering, (or researching!) all manner of questions. This is a full-time, non-exempt position with excellent benefits that include medical, dental, vision, 403(b) and paid leave.

Essential Functions:

Primary

* Provide excellent customer service while answering phone and email questions from the public, volunteers, and staff regarding registration processes and program/course availability. Handle routine requests for information regarding activities, course content and requirements. Ensure that event-related sections of the website and council calendars are updated frequently and accurately.

* Process registrations for council sponsored activities including timely and efficient and accurate data entry and processing of registrations, confirmations, changes, cancellations, and refunds. Coordinate financial assistance requests with the Financial Assistance Coordinator. Ensure that invoicing is done accurately and payments are submitted on time while demonstrating consistently high quality customer service.

* Process site reservations and confirmations for all users of council camp properties and Girl Scout Encamporee Lotteries. Provide accurate and updated site rental status reports to appropriate Camp Site Managers/Site Hosts. Coordinate Camp Site staff-led program requests to the appropriate scheduling agent and follow-up with appropriate billing. Ensure that invoicing is done accurately and payments are made.
Secondary

* Secure sites for events as needed.

* Produce statistical reports on program and volunteer learning placement, attendance and cancellations, maintain accurate site usage records and filing system, and develop administrative processes to ensure accuracy and efficiency.

* Provide participant numbers and rosters to the appropriate program/camp/volunteer learning manager or volunteer learning facilitator as needed.

* Assist with the development and updating of registration forms.

* Enter programs and courses into the computer database in preparation for registration. Update website and staff on new offerings and changes.

* Other duties as assigned

Qualifications:

* High school diploma or equivalent. Associate of Arts preferred.

* One year office experience in a clerical or administrative support role.

* One year experience with a high volume of in-depth customer service calls.

* Strong data entry experience required.

* Skilled in Outlook, Word, Excel and Access or similar database program, including running basic queries.

* Demonstrated ability to multitask, prioritize deadlines, work independently, take initiative and maintain confidentiality.

* Strong interpersonal skills to ensure effective interactions with individuals at all levels and backgrounds with an emphasis on telephone communications.

* Strong organizational skills and attention to detail.

* Ability to compose original correspondence and format business letters.

* Excellent customer service skills.

* Experience with Girl Scout camping and/or programs preferred.

* Availability to work varied hours including some nights and weekends as necessary.

* Maintain membership in Girl Scouts of the United States of America

* Valid Washington State driver’s license, vehicle in working condition, proof of insurance.

* Satisfactory results from criminal background search
