Washington Trails Association seeks a Program Assistant who is passionate about trails and volunteerism to join our volunteer trail maintenance program. The Program Assistant will help ensure a positive experience for WTA’s 3,400 annual volunteers and provide administrative support for the program. The successful candidate will be a detail-oriented, team player who is motivated to provide excellent customer service and to record and maintain volunteer work party data. The Assistant reports to the Volunteer Coordinator and collaborates with other program staff. This is a full-time, non-exempt position based in our downtown Seattle office.

Responsibilities include but are not limited to:

  • Accurately records volunteer work party data and related payments in the Salesforce database, custom volunteer work party management database, and hard copy files.
  • Accurately records and maintains volunteer data in the Salesforce database.
  • Helps develop, document and implement procedures to ensure data quality and improve efficiency of the Salesforce database for trail maintenance.
  • Communicates directly with volunteers and potential volunteers via email, phone, and letter.
  • Tracks backcountry trip registrations and helps prepare materials for those trips.
  • Helps procure, manage, prepare, and distribute volunteer incentives such as hard hats, vests, and t-shirts.
  • Provides additional administrative support to help attract, engage, and recognize volunteers and manage trail projects. Duties may include completing mailings, organizing digital images, and providing support for volunteer appreciation events.
  • Participates in occasional trail work parties and volunteer events.
  • Actively participates in organization and team meetings as well as special events as required.

Desired Qualifications:

  • 1-2 years of nonprofit administrative experience or equivalent, preferably including volunteer relations.
  • Data entry and/or database management experience, preferably with a CRM database such as Salesforce.
  • Proficiency with Microsoft Windows and Office, including strong Excel skills. Experience with photo editing and email marketing software (such as ExactTarget) a plus.
  • Integrity, positive attitude, and sensitivity to the needs of volunteers.
  • Internet, email, and social media literacy.
  • Excellent attention to detail.
  • Ability to collaborate effectively with colleagues to complete tasks and help meet team/organization goals.
  • Ability to work independently to prioritize tasks and meet deadlines.
  • Strong interpersonal and oral communication skills.
  • Strong writing and editing skills.
  • Commitment to WTA’s mission and interest in volunteer trail maintenance.
