Girl Scouts of Western Washington (www.GirlScoutsWW.org<http://www.GirlScoutsWW.org>) is seeking a Stewardship Specialist, Fund Development to support the Fund Development department through the effective daily administration of the organization’s donor database – Donor Perfect – This position provides leadership for the design, implementation and maintenance of a high-quality donor stewardship program, including maintaining GSWW’s donor database. The ideal candidate will have demonstrated experience in providing organized, timely, detail-oriented and customer-focused support of a team. Previous fund development experience is strongly preferred. This is a full-time, non-exempt position based in Seattle. Essential Functions:

Customer Service

Maintain high levels of customer service with donors, always focusing on the donor’s experience and impression for all communications.

Ensure high levels of customer service for internal departments. Continue high functioning relationships with departments essential to daily gift entry and make sure that Fund Development is easy to do business with for all GSWW departments.

Database Management:

Creates, updates and maintains overall systems for DonorPerfect including but not limited to: effective set up and maintenance of database coding and recording systems, ensuring donor records are accurate and up-to-date, daily gift entry, production of timely and accurate acknowledgement and tax letters, maintaining accurate soft credit and pledge records, and regular gift reporting. This includes systems patches and upgrading database versions as appropriate.
Ensure the GSWW’s donor and charitable contributions records are accurate, up-to-date and in compliance with fund development and financial best practices for charitable contribution accountability and donor rights.
Prompt and accurate gift recording and personalized donor acknowledgement, timely and accurate gift entry, seamless acknowledgment process.
Serves as the primary Fund Development point person with the Finance team for regular reconciliation, audit and other accounting processes.
Responsible for billing associated with all donations and pledges; including reporting out to vendors as well as providing individual, corporate and foundation billing generated by GSWW.
Manages giving received through corporate matching gift and charitable payroll deduction programs
Provides accurate and timely reports, queries, data segmentation, major donor ratings and mailing lists for fundraising campaign analysis, campaign launches and prospecting. Produces and distributes ongoing Gift Reports to all appropriate parties. Supports staff in analyzing donor data.
Supports colleagues by investigating problems and recommending solutions relative to any and all database functions.
Develops and maintains a donor database operations and standards manual.
Ensures that all reporting requirements related to contacts with partners and charitable registrations are met, as well as IRS, FASB and GAAP regulations.

Donor Stewardship:

Works with the Fund Development team to create and implement a high standard of donor-centric stewardship policies and procedures. This includes maintaining accurate donor records with up-to-date contact information, personalized donor thank you processes, and effective and efficient donor benefit fulfillment at all levels.

Facilitates work with the mail house for Annual Giving mailings.
In collaboration with the other members of the Fund Development team, maintain Fund Development content and links on the GSWW website as well as provide social media content to acknowledge GSWW donors.
Provides fund development team with support to ensure that all contacts with key donors and funding partners are recorded quickly, efficiently and appropriately.
Supports Fund Development volunteer committees as needed
Provides support for Fund Development events by assisting in overseeing registrations, table captain guest lists, name tags and other associated logistics and guest services in addition to accurate record keeping of event donations and sponsorships.
Provide support for annual fundraising plans: assist with direct mail projects, online giving as well as donor cultivation and stewardship efforts.
Seek continuous improvement of the stewardship function including streamlining tasks and developing efficiencies in gift processing.
Works effectively with appropriate GSWW departments (marketing, finance & program) and external partners (vendors, volunteers etc.) to realize annual goals.

Qualifications:
* Bachelor’s Degree in related field or equivalent education and work experience in a Fund Development department
* Experience working with donor database. Donor Perfect or Raiser’s Edge experience strongly preferred
* Demonstrated experience with donor database analytic tools, queries and reports and other advanced database analysis functions
* Knowledge of the practices and principles of fundraising and/or prior experience with fundraising operations required
* High proficiency with MS Office, Outlook, Word, and Excel.
* Excellent organizational skills and demonstrated ability to prioritize tasks, meet deadlines, multi-task and work under pressure
* Ability to organize information and data and perform detail-oriented work with accuracy/timeliness/completeness
* Strong interpersonal skills to ensure effective interactions with individuals at all levels and backgrounds.
* Satisfactory results from criminal background search
* Availability to work varied hours, including nights and weekends as necessary
* Valid Washington State driver’s license, vehicle in working condition, proof of insurance, or the ability to fulfill timely and extensive travel requirements across widespread regional geography.
* Maintain membership in Girl Scouts of the United States of America
* Other duties as assigned
