Education Team Administrative Assistant

Part Time (20 hours per week)

Overview:

Working from IslandWood’s Seattle Office, the Administrative Assistant primarily supports IslandWood’s Education team, with particular focus on Urban Programs. Tasks fall into two large areas of responsibility: administrative support and data/registration support.

Reports to: Director of Urban School Programs

Responsibilities:

Data/Registration Support

  • Support the use of web based customer relation tools.
  • Support Ed Team department members in the design of web-registration pages, specifically addressing the registration and event details of education team-sponsored events such as the Make a Difference Summit, Professional Development Programs and other events that are planned throughout the year.
  • Support selected registration processes through system design, engagement, and client communication.
  • Manage on-line survey data that supports the organization’s ongoing impact reporting.

Administrative Support

  • Provide administrative support for all Education Teams.
  • Help to manage communication across Ed Team and Grad students.
  • Coordinate the annual application and reporting process necessary to secure AmeriCorps members for the Education Team. Includes gathering, organizing, and supplying information / data for the RFA process and throughout the 10-month commitment for each AmeriCorps member. Meet numerous deadline requirements set by AmeriCorps. Follow through with applicants to make sure all necessary information is supplied to AmeriCorps correctly and on time.
  • Coordinate the preparation and submittal of program-related contracts and reports.
  • Strategize with Ed Team members on projects and events.
  • Network with IslandWood Operations Team.
  • Other duties as assigned.

Qualifications required:

  • High school graduation or the equivalent
  • Competent written and oral communication skills
  • Proficiency with Microsoft Office
  • Supports diversity, equity, and inclusion in everything we do
  • Desire and demonstrated ability to learn new computer programs
  • Proficiency in planning, organization, and project management
  • Accurate typing/keyboarding skills with close attention to detail
  • Ability to take initiative and prioritize tasks; excellent time management, proactive problem-solving skills
  • Ability to maintain confidentiality of sensitive information

  • Experience in engaging with diverse communities.

Qualifications desired

  • Degree beyond high school
  • Five or more years of office work and/or registration experience
  • Proficiency with database tools such as Salesforce, Form assembly and/or Eventbrite
