Administrative Assistant 5
(Fulltime, Permanent)
The Department of Fish and Wildlife is recruiting a positive, energetic individual with excellent administrative skills to fill one full time, permanent, Administrative Assistant 5 position located in the Wildlife Program Administration Division. The duty station for this position is the Natural Resource Building, Olympia, Thurston County.

Under the direction of the Administrative Operations Division Manager this position: supervises and provides leadership for administrative activities to support program and agency goals and objectives; serves as the administrative lead for developing, tracking, and refining all program rule making and Commission processes, ensuring accuracy and timeliness; coordinates and conducts research and major projects on behalf of supervisor; serves as lead for coordinating and tracking program legislative bill analysis, and assists with contract and budget development and management.

 Duties:
This position provides leadership, supervision, and manages day to day operations for the Administrative Section of the Wildlife Program.

  • Plans, organizes, and assigns work unit and individual staff responsibilities, ensuring quality products and services are produced and deadlines are met.
  • Reviews staff operating methods and procedures to identify and implement process improvements.
  • Coordinates staff cross-training to maintain and enhance work unit performance.
  • Conducts performance reviews, recommends hiring levels and hiring decisions, performs corrective action, and recommends disciplinary action.
  • Serves as the Wildlife Program lead for; developing, tracking, and refining permanent and emergency WACs (approximately 50 per year) and Commission processes, ensuring the accuracy and timeliness of rule development and Commission briefings.
  • Coordinates and tracks the assignment of Legislative bills for the Wildlife Program.
  • Assists with budget and contract development and management.
  • Provides direct supervision of two Administrative Assistants.
 Qualifications:
A Bachelor’s degree in business administration, public administration or closely allied field and two years of professional administrative experience.
At least two years of professional experience analyzing policies, laws, rules, or regulations.
At least two years of supervisory experience.
Additional qualifying experience may substitute for education on a year-for-year basis.

Preferred/Desired Qualifications
Knowledge of Washington State agency budgeting, accounting and contracts.
Knowledge of OFM regulations, state purchasing and inventory requirements, and travel regulations.
Knowledge of the Legislative process.

Working Conditions

  • Work is performed in a typical busy office setting.
  • Standard business hours are Monday-Friday from 8:00 a.m. to 5:00 p.m.
  • Involves sitting or standing for long periods of time.
  • Entails occasional travel to attend meetings and trainings.
  • May be exposed to graphic photographs depicting harvested wildlife, wildlife depredation, necropsies, or biologist/veterinarian field activities.
