We are recruiting to fill two non-permanent, on-call, Office Assistant 1 – positions in our Technology and Financial Management Program, Licensing Office located at the Washington State Natural Resources Building in Olympia, Thurston County, Washington.

The mission of the WDFW Licensing Division is to provide quality services and be an active partner with businesses, communities, and the public participating in or inquiring about commercial and recreational fishing, hunting, and wildlife viewing opportunities in Washington State.
Duties

The Licensing Division is the business agent for WDFW relating to the sales, distribution, systems, accounting, customer and retail dealer support and creation of sales channels to optimize agency revenue and compliance for the issuance of recreational and commercial licenses permits and other products and disability applications. 

The Licensing Assistant provides mission critical customer service and support to internal and external WDFW stakeholders, co-workers fulfilling recreation license sales orders, and general inquiries to the Licensing Division throughout the year. The Licensing Assistant is a front line representative for the Agency on many general licensing related matters. The incumbent is responsible for demonstrating consistent, timely and excellent customer service and fulfillment of Internet and telephone sales. Additionally, the incumbent is responsible for various office-related tasks as assigned by the supervisor.

POSITION SUMMARY
Clerical Support
Answers telephones; following clearly established guidelines, answers routine questions; receives and refers visitors.
Performs messenger services on a specific route or particularly addressed material within or between departments.
Keyboards/types office forms, envelopes, labels, and index tabs.
Proofread material and identifies areas needing corrections.
Photocopies and collates material.
Performs basic arithmetic such as addition, subtraction, multiplication, and division.
Posts information from various departments according to established procedures and standards; tabulates and posts report forms.
Operates a variety of office equipment such as computer/word processor and associated software, typewriter, calculator, document imaging, printers, multi-line phone system, and copy machine.
Enters and retrieves data from electronic data processing systems; establishes and updates information, generates documents and correspondence; communicates with others via electronic means; updates computer system files.
Opens and date-stamps incoming mail; learns to sort and route mail; picks up and prepares outgoing mail; learns to maintain logs, lists, rosters, directories, and other records;
Performs incidental typing.
In support of office operations, performs repetitive, routine, or relatively simple clerical duties/tasks such as establishing and maintaining record keeping/filing systems and/or database files, serving as receptionist, performing mathematical calculations and copying materials.
Stacks, stamps, opens, codes, sorts, files or alphabetizes correspondence, records, or materials according to established procedures and predetermined categories; maintains files and records.
Fulfillment of Licensing Sales
Works with permanent staff members to complete fulfillment of Licensing Sales items.
Sorts and organizes forms, licenses, pamphlets, brochures, correspondence and other paperwork requested by customers and agency personnel.
Labels and inserts paperwork, placards, pamphlets, forms, and licenses into envelopes.
By utilizing unit’s manual and following the processes provided to complete Recreational unit’s tasks, works toward meeting both personal and unit’s goals.
Responsible for participating in, making recommendations regarding methods for improving practices, and addressing challenges.
Assists in developing and maintaining Customer Service Section’s processes.
Responsible for assisting supervisor with the development, establishment, maintenance, implementation, and completion of activities and priorities for the work unit.
Communicates both personal and unit targets strengths and challenges to supervisor.
Assists in developing methods to report and achieve expected call center performance measurement targets

Qualifications

High School diploma or GED equivalent.
Six (6) months of clerical or customer service experience.
Ability to type 35 wpm with accuracy.
Familiarity with Microsoft Office programs, including a general understanding of Word and Excel, and understanding of search criteria for Internet and Intranet web sites.
Knowledge of: basic knowledge of modern office practices, methods and procedures; English grammar, vocabulary, spelling and punctuation; basic arithmetic; the use of electronic information equipment.
Ability to: learn simple and repetitive office tasks; demonstrate reliability and a desire to learn new skills; understand and carry out oral and written instructions; understand procedures, manuals, policies and guidelines; exercise sound judgment when initiating processes, actions, and alternatives within established procedures, policy, and local practice; ability to learn general goals and purpose of departmental services and operations; establish and maintain harmonious work relationships with co-workers and the general public; communicate effectively verbally and in writing; learn and perform assigned clerical tasks and routines; maintain confidentiality of restricted information; enter data accurately

Supplemental Information

Working Conditions
This position is on-call (work is intermittent in nature and does not fit a regular work schedule pattern). The work week is Monday-Friday, 8:00 a.m. – 5:00 p.m. but the incumbent may be asked to work occasional weekends and evenings, depending on workload.  Hours will vary from 0-40 hours per week throughout the year.
 
The working environment is a busy office setting. Varying degrees of activity occur in the common areas during working hours; most tasks will involve sitting at a desk and working on a computer. Incumbent must be able to work amid distraction.

Position is estimated to be for three (3) to six (6) months.
