Administrative Assistant 3
Full-Time/Permanent
We are recruiting to fill one full-time permanent Administrative Assistant 3 position in our Law Enforcement Program, located at the Washington State Natural Resources Building, Olympia, Thurston County, Washington.

This position reports directly to the Enforcement Program’s Criminal Justice Liaison.  The position will assist Criminal Justice Liaison, Chief of Police, and headquarters staff with varied tasks of a complex and routine nature which includes coordination of agency rules, providing customer service over the phone, typing, editing, tracking work products, writing and proofing correspondence, and research.

 Duties:
  • Executive Support: editorial support on documents ranging from general communication to HR disciplinary documents
  • Administrative Legal Hearing Support: coordinate respondent officer schedules, document review / preparation / processing
  • License Suspension and Revocation: notification, document review / preparation / processing, updating pertinent systems (WILD, CODY, IWVC).
  • Criminal Justice Working Groups Support: coordinate, reserve rooms, schedule, agendas, minutes / summaries
  • Coordinate with staff to schedule time, deconflict emerging priorities with commitments, & information preparation to assist the Chief
  • Phone Management: be able to answer Chief’s direct line during normal business hours
  • Meeting Management: coordinate, reserve rooms, schedule, agendas, minutes / summaries
  • Program Reports: notification of deadlines, consolidating information, creating final draft documents, submission
  • Preparing Financial Documents: preparing payment forms for expenses, establish direct billing
  • Presentations: notification of deadlines, consolidating information, creating final draft documents, proofing
  • Information Requests: coordination, consolidating information, presenting findings
  • Distribution of Incoming Mail: sorting daily mail, stocking mail area
  • Coordination: Build and maintain a rulemaking calendar for programs to schedule time and review
  • Review pre-proposal and proposal filings (CR-101 and 102 forms)
  • Order Typing Service Management: coordinate and order requests of WACs for formatting
  • Coordinate with agency Webmaster to update and post all agency rules online
 Qualifications:
Position typically requires high school graduation or equivalent and two years of clerical experience.

Working Conditions
Work schedule is 40 hours, Monday through Friday.  Working environment is a busy office setting. Varying degrees of activity occur in the common areas during working hours; tasks will involve long periods of time standing in addition to long periods of time sitting at a desk and working on a computer. Incumbent must be able to work amid distraction.  Must be able to lift 40 lbs. without assistance.
