Special Note | This is a full time, overtime eligible position in Advancement on the Olympia Campus of The Evergreen State College. |
Position Purpose | This position provides direct support with and technical advice on the preparation and submission of institution-wide grant and contract applications from the faculty and staff, performs pre- and post-award grant-related negotiation, record keeping, and logistical functions, and provides support for a variety of activities within the college’s Advancement division. |
Nature and Scope | This position reports to the Director of Grants and Foundation Relations and works closely with Advancement staff, faculty, grant project directors, Business Services staff, and divisional budget coordinators. The position supports the development, submission, and award processes for grant proposals for The Evergreen State College and The Evergreen State College Foundation. The position also supports the development and execution of contracts, sub-awards, and other agreements related to grant funding. Grant proposals seek funding for a variety of activities at the college, including scientific research, the arts, faculty development, student support programs, and facilities. Funding agencies include federal, state, local, tribal, and private organizations. |
Essential Functions | • Assist and advise staff and faculty in the preparation of grant proposals, • Proofread and format grant documents to maximize effectiveness of proposals and comply with application requirements. • Coordinate grant submission processes, notify all concerned of application deadlines and ending dates, and track outcomes. • Research and collect budget data and prepare draft budgets for proposals. • Establish and maintain files of proposals and current grants and contracts, provide progress reports, and accumulate statistics. • Research and interpret government, funding agency, and/or college regulations and policies; communicate relevant information to internal and external audiences and identify when decisions or alternate course of action may be necessary. • Provide complex and technical/clerical support services, including initiating and composing correspondence, processing grant and contract proposals using appropriate format, scheduling meetings, and keeping stakeholders informed. • Conduct preliminary fiscal and administrative analysis of proposals requiring consultation with investigators and funding agencies. • Negotiate with funding agencies to establish terms and conditions of grant and contract awards, ensuring compliance with relevant policies and procedures and including leadership as required. • Prepare subcontracts with other institutions, including cost analysis, negotiation, selection of proper terms, and coordination of close-out actions. • Track, compile, and analyze data; prepare reports and presentations, as necessary. • Conduct research to identify prospective grants and grant funding organizations; prepare written briefings of research for administrators. • In collaboratively with prospect research staff, use Raiser’s Edge to maintain comprehensive records of Evergreen’s relationships with grant-makers, including contact notes summarizing contacts with grant-makers; planning actions required for grant proposals; tracking deadlines for proposals, applications and award documents; and follow-up and reporting requirements. • Assist with grants-related workshops and trainings for Evergreen faculty and staff. • Compose grant-related communications for internal and external audiences. • Support Advancement fundraising and related activities, including significant annual events such as Return to Evergreen and Art of Giving. • Perform related duties as assigned. |

Knowledge Skills and Abilities | • Excellent interpersonal communication, public relations, and customer service skills both in person, over the phone, and by email. • Proficiency with Microsoft Excel, including the ability to construct budgets for grant proposals; excellent skill with Microsoft Word, including document and page formatting, sections, styles, tables, objects, and illustrations; as well as the ability to use a variety of online applications, relational databases, and other information management systems. • Ability to understand and apply or comply with government regulations, grant solicitations, college policies and procedures, and legal agreements. • Knowledge of and ability to apply the Office of Management and Budget’s Uniform Guidance and similar regulations. • Excellent ability to produce high-quality, accurate, complex, and lengthy documents under deadline. • Ability to work under pressure and handle multiple tasks requiring a high degree of accuracy and attention to detail in a distracting, open office environment. • Ability to interpret grant and contract requirements to faculty, administrators, and partner agencies. • Ability to organize work effectively to manage multiple deadline-driven projects and assignments. • Ability to work effectively with diverse groups and individuals including students, staff, faculty, parents/families, and the public. • Ability to gather, interpret, and synthesize complex information into concise reports and profiles from a variety of sources. • Knowledge of higher education, including an understanding of the role of the liberal arts in undergraduate programs. • Excellent attention to complexity and detail. • Excellent proofreading skills. • Willingness to continually learn about new programs and subjects and remain invested in the work. |

Conditions of Employment | • Persons hired must provide proof of identity and employment eligibility within three days of beginning work. • Prior to a new hire, a background check including criminal record history will be conducted. Information from the background check will not necessarily preclude employment but will be considered in determining the applicant’s suitability and competence to perform in the position. • The incumbent must be available occasionally to work evenings and/or weekends to meet deadlines or support events. |
