If you want to join a highly effective, collaborative team in exciting work dedicated to managing a sustainable water supply in Central Washington, this may be the position for you.The Shorelands and Environmental Assistance (SEA) program is currently looking to fill a Coastal/Shorelands Section Secretary (Secretary Senior) position. The position will be located in our Headquarters Building in Lacey, WA.
The Coastal/Shorelands Section Secretary position performs complex secretarial duties for a section of 20-23 environmental professionals. This includes developing and reviewing written materials, maintaining files, making travel and meeting arrangements, and providing other support to the section manager and staff.
We are looking for applicants who have great organizational skills, communicate well with diverse audiences, take initiative to finish tasks without prompting, and work well in a team environment.

The mission of the Shorelands and Environmental Assistance (SEA) Program is to support community conservation efforts for our shorelands, wetlands, and floodplains. The Coastal/Shorelands Section in the SEA Program is a team of scientists, planners, policy specialists, and grants staff dedicated to carrying out this mission.
The Coastal/Shorelands Section Secretary position provides core support to the section and is a vital member of the team. Some of the key duties for this position include:
- Composing, formatting and finalizing correspondence that meets agency standards and good business practices. Correspondence includes letters to internal and external parties as well as confidential personnel paperwork.
- Providing a wide range of administrative support related to staff training, travel, hiring processes, time accounting, and purchasing.
- Creating and maintaining hard copy and digital files and filing systems for purchasing, correspondence, personnel, and other issues. Archiving hard-copy files following state record retention schedule.
- Scheduling and coordinating the logistics of various meetings, including setting up conference calls if necessary. Scheduling and attending section meetings, and composing meeting minutes as necessary.
- Providing backup support to the SEA Program headquarters administrative team.

Required Qualifications:
High school graduation or equivalent AND two (2) years of increasingly responsible secretarial office experience.
Skills and Abilities:
- Proficient in the use of computers, including the use of Microsoft Word, Excel, PowerPoint, and SharePoint to create, format, and edit a variety of products, track budgets, and organize work.
- Ability to proofread and finalize formal documents with a high degree of accuracy. This includes proofreading and editing written material; identifying and correcting errors in grammar; and improving clarity, composition, flow, organization, content, punctuation, and spelling.
- Must be organized and able to keep track of multiple activities which include the ability to prioritize and perform multiple tasks in the same timeframe, handle interruptions appropriately, and return to incomplete tasks.
- Must be discreet and maintain confidentiality, including the management of confidential information.
- Must readily take initiative to do work without prompting.
- Must maintain high degree of accuracy in multiple forms of communication.
- Must complete all work assignments in an appropriate and timely manner.
Desired Qualifications:
- Experience working with administrative procedures within a state or other governmental agency.
- Experience working with technical staff and issues related to the environment, natural resources, science, law, or policy.
