Job Description
This is a full time temporary position, working up to 40+ hours per week during the summer conference season (June-August). Candidates must be able to work a varied schedule with split shifts, night shifts, and frequent weekend work. This position will report to the Conference Services Manager. Duties will include supporting all aspects of a team environment to produce exciting and highly successful summer conferences and day events. A background check is required to work for Conference Services. Applicant must be available for all training, dates TBA but will be in the first half of June.
Specific Responsibilities and Expectations:
– Provide excellent customer service to conference attendees and campus visitors; anticipate and deliver on guests expectations and needs
– Collaborate with team to produce highly successful conferences/events
– Check in/out conference guests into campus summer conference housing; work guest services front desk
– Perform sets and strikes for conferences as needed
– Ability to move heavy racks of chairs, rolling tables and staging (lift up to 50lbs)
– Ability to handle cash transactions
– Ability to use a property management/conference service management computer software
– Maintain appearance and cleanliness of office, lobby, and meeting spaces
– Maintain and monitor data base for housing assignments
– Respond and refer in Conference guest emergencies
– Competently answer phones, take and post messages, arrange delivery if needed
– Foster positive and professional working relationship among the rest of the Conference Services team, Campus Housing, and College staff
– Perform special projects and other duties as assigned
– Assist Housing Facilities as needed
Additional Duties and Abilities
– Maintain departmental communication logs
– Ensure buildings are promptly secured after each checkout
– Assist with catered event set ups and strikes
– Set up and demonstrate AV equipment when needed
– Provide administrative duties and support as needed
– Attend weekly meetings with conference services staff and other meetings as needed
– Ability to communicate well with guests and co-workers
– Willingness to represent the Evergreen in a friendly, positive, and professional manner
– Agree to abide by all Conference Services Policies, the Evergreen State College Social Contract, and local and State laws and ordinances
Previous hospitality, retail, or customer service experiences are preferred, but not required.
