Description

POSITION SUMMARY: The Production Coordinator primarily supports the Marketing Director by facilitating meeting logistics and managing production timelines. In partnership with the Marketing Director, s/he oversees the research, writing, proofing and distribution of content, from draft creation through distribution of final product. The Production Coordinator also supports the extended development and marketing team by providing reports, conducting research, budget tracking, MaxMobile scheduling, content creation and performing other administrative tasks as needed. S/he is the organizational backbone of the department and must be confident working with employees at all levels of seniority. This person will be expected to act as the keeper of the master editorial calendar, and also be comfortable holding all team members accountable for their own deliverables. 

KEY OR ESSENTIAL FUNCTIONS:

  • Manages interdepartmental project requests and is responsible for delegation to marketing team.
  • Manages production timelines and logistics of all marketing deliverables including content for web, social media, print publications, press releases, blog posts, monthly e-newsletter, event marketing, advertising and promotions.
  • Maintains editorial calendar and annual promotion schedule for the department.
  • Provides administrative support to development and marketing team, including meeting logistics and resources.
  • Reviews and manages ASANA training process for development and marketing team. Updates training process as needed.
  • Assists with content creation, including brainstorming sessions, photoshoots and/or minor writing assignments.
  • Assists development staff members with donor stewardship tasks.
  • Tracks budget process and annual spending according to budget plan.

SECONDARY FUNCTIONS: 

  • Trains and manages office volunteers as needed
  • Other duties as assigned such as (but not limited to) errands, meeting or event preparation.

COMMUNICATION/INTERPERSONAL CONTACT:

  • Daily verbal and written communications with co-workers, volunteers, customers and/or vendors through meetings, direct contact, telephone, mail or e-mail.

COMPLEXITY: 

High degree of independent judgment required. Must be creative and able to solve problems; manage multiple tasks and determine priorities. Must be a good project manager, able to work with a variety of personalities, and remain focused on the organization’s goals and objectives. Must demonstrate attention to detail and must be able to respond to unexpected questions, comments or requests from other departments or vendors.

Qualifications

Minimum age: 18 years

KNOWLEDGE/EXPERIENCE/EDUCATION OR TRAINING:

Bachelor’s degree required. Must have excellent project management skills, relevant production experience, attention to detail, and high degree of comfort with technology. Requires strong writing/editing skills and familiarity with the creative process.  

LICENSES/CERTIFICATIONS REQUIRED: 

  • Valid Washington State drivers license with good driving record.

PHYSICAL/MENTAL REQUIREMENTS:

Must be able to analyze problems and determine the best solutions, and communicate clearly and concisely both orally and in writing. Must possess good attention to detail, be able to concentrate and produce accurate work despite frequent interruptions. Needs to be sensitive to other opinions, perspectives or cultures. Must be able to sit for long periods of time; to lift and carry at least 30 pounds with or without accommodation; to kneel, crouch, bend and reach.

WORKING CONDITIONS: 

General office environment. May have limited animal handling which presents the potential of animal bites, exposure to zoonotic diseases (diseases that can be transmitted from vertebrate animals to people), animal dander and noise. Potential for working with angry or emotional customers.

  • Equipment Use: Continuous use of computer, printer, copy machine, and multi-line telephone.
  • Work Hours: Full-time, hourly position. Must be willing to work some evening and/or weekend hours as requested.
