Forms & Records Analyst 2
We are seeking an individual with an extensive knowledge of Washington’s records retention and public disclosure laws. The successful applicant will be a top-performing employee with excellent skills in organization, customer service, collaboration and teamwork.
DutiesThis positions supports the agency’s mission by helping conserve the State’s natural resources through proactive coordination of public disclosure requests; ensuring HR records are in compliance with the state records retention schedule and state and federal personnel record laws; and possible digitizing of agency personnel records. This position is responsible for coordinating the collection and preparation of records in response to public disclosure requests. The analyst maintains the office’s unique records retention schedule, provides internal guidance to office record owners, and manages the transfer and disposition of official HR records.
QualificationsRequired Qualifications:
An Associate’s degree in records management or related field and at least one year of full-time experience in records management and disposition, and disclosure of public records.
Proficiency with Microsoft Office programs i.e. Word, Excel, Access, SharePoint and Outlook.
Please note: Experience may replace education on a year-for-year basis.
Preferred Qualifications:
Experience in a State agency Human Resources Office
Working knowledge of the WA State Public Records Act (RCW 42.56)
Working knowledge of the WA State Preservation and Destruction of Public Records Act (RCW 40.14)
Strong attention to detail resulting in high accuracy rate
Excellent written and oral communication skills
Ability to multi-task and manage priorities successfully
Supplemental InformationWorking Conditions:
Work Setting, including hazards:Work is generally performed in an office setting within the Human Resources Office. Position requires extensive computer use and sitting. Also requires the ability to perform frequent bending and lifting of up to 35 pounds.
Schedule (i.e., hours and days): Normally works Monday – Friday; 8 hours/day
Requirements:Very little travel, if any
Tools and Equipment:Computer hardware and software, general office equipment, dolly for carrying boxes.
Customer Interactions:HR Office staff, State Archive and Records Center staff, other agency staff including Director’s Office, IT and Fiscal Office staff.
