Summary/Objective
The Project Assistant/Administrative Assistant will assist with duties such as coordinating vendor contracts and work orders; delivering packages, documents, and permits to regulatory offices; preparing meeting summary notes and reports; organizing field documentation; uploading data to file-sharing software; researching reports for litigation support; completing boring logs; and performing other tasks as assigned. The successful candidate will be highly organized, collaborative, and responsible.

  • Maintain front desk, answer, forward and coordinate calls.
  • Document scanning and organization.
  • File path management.
  • Record tracking.
  • Data entry.
  • Budget tracking.
  • Litigation support.

  • Excel catalog creation and maintenance.
  • Conduct project research.
  • Assist in preparing technical documents.
  • Coordinate vendor contracts and manage vendor records.

  • Organize and manage files.
  • Interface with vendors and clients as needed.
  • Manually deliver reports to regulatory agencies.
  • Provide general technical support.
  • Assist with meeting setup and scheduling.
  • Assist with clerical duties such as photocopying, scanning, faxing, and filing.
  • Perform general administrative duties as assigned.
  • Assist with meal ordering, delivery and event set up.

Supervisory Responsibility

Travel

Minimal local travel is expected for this position.

Required Education and Experience

  • Bachelor’s Degree
  • 2+ years of experience in project support role for consulting, engineering, or other professional services firms.
  • Excellent writing, organizational, communications, and interpersonal skills.
  • General accounting skills.
  • Valid driver’s license and safe driving record.
  • Proficiency in the use of office equipment.
  • Willingness to learn and use new computer programs and applications.
  • Ability to work under pressure with short deadlines.
  • Ability to work independently or on a team.
