POSITION ANNOUNCEMENT: EVENTS COORDINATOR FOR CAPITOL LAND TRUST

Capitol Land Trust seeks a part-time Events Coordinator to organize fundraising and outreach events, ranging from 20 to 500 people, under the direction of the Trust’s Associate Director. The Events Coordinator needs to be able to work with a variety of people and embrace Capitol Land Trust’s values of quality and collaboration. Job responsibilities include working with Trust’s staff and members to plan events; publicizing events, managing event logistics, and communicating responsibilities to staff and volunteers. This temporary position will run through December 31,2013, with the possibility of becoming a permanent position in 2014.
 
KEY RESPONSIBILITIES
·         Collaborate with Capitol Land Trust staff and appropriate committee members to plan events logistics, including research into appropriate vendors, vendor deliverables, publicity, registration and attendee tracking, setup and breakdown, materials support, waste management, etc..
·         Work independently to publicize /advertise events.
·         Assist with updates to social media outlets regarding events.
·         Send out invitations and manage RSVP lists.
·         Monitor event timelines and ensure deadlines are met.
·         Keep Associate Director informed of current project status for event(s).
·         Professionally manage events to maintain good relationships with sponsors, volunteers, and hosting facilities.
·         Visit venue to plan layout of event including registration, seating, merchandising, and other features as needed.
·         Coordinate equipment rental with vendors.
·         Maintain inventory of event support supplies, and procure replacements as needed.
·         Gather equipment and supplies and arrange for delivery to venue.
·         Follow up with sponsors, volunteers, and staff prior to events to communicate responsibilities and resolve any needs they may have.
·         Prepare event signage, nametags, materials, registration lists, etc.
·         Ensure a quality experience for participants.
·         Ensure event area is clean and free of debris before departing the venue.
·         Prepare post-event evaluations.
·         Perform other duties as assigned.
 
DESIRABLE KNOWLEDGE, SKILLS and ABILITIES 
·         Excellent interpersonal skills both in person and by phone, with high degree of professionalism.
·         Ability to accomplish projects with little supervision.
·         Adherence to high quality standards.
·         Highly organized.
·         Detail oriented.
·         Ability to anticipate project needs and set priorities.
·         Ability to manage multiple overlapping priorities.
·         Ability to solve problems quickly while under pressure.
·         Proficient in Microsoft Word, Excel, Access, Publisher, Outlook, Dreamweaver, Facebook.
·         Willingness to perform manual labor for setup and breakdown
·         Valid Washington State drivers’ license and ability to perform out-of-office errands.
 
QUALIFICATIONS
·         Large event management experience preferred.
·         Non-profit organization experience preferred.
·         Experience working with volunteers preferred.
·         High level of computer competency including Microsoft Office applications, internet/email and lists, data and database management, etc.
·         At least 1 year experience in event coordination.
·         Ability to lift and carry up to 40 lbs. safely.
·         Must be willing to work some evenings and weekends.
·         Must have own vehicle – will be reimbursed mileage at the current IRS rate.
·         Ability to pass criminal background screening.
 
SCHEDULE
This position requires a flexible schedule. Due to the cyclical nature of events throughout the year, the Events Coordinator will work some evening and weekends, and work hours will vary between 10-40 hours per week depending on the events schedule. 
 
COMPENSATION
Depending on experience, a range of $14.50 – $16.50 per hour.
