SPECIAL NOTE

There are currently two full-time, overtime-eligible positions (Patient Services Lead and Medical Assistant) available at the Student Health Center on the Olympia Campus of The Evergreen State College.  These are ten month per year, cyclic position with July and August off each year (healthcare benefits paid year-round).  The candidate pool established from this announcement may be used to fill comparable permanent, full-time, part-time, and temporary vacancies in the future.

POSITION PURPOSE
PATIENT SERVICES LEAD

Under the supervision of the professional medical staff, the Patient Services Lead works in the front office of the Student Health Center providing support services such as: patient triage (in-person and by phone) to the medical staff, scheduling appointments, verifying student registration status, assembling patient charts, maintaining patient records, initiating and processing patient charge documents.  This position leads the work of Student Medical Assistants (SMAs) performing the front office duties and may perform medical assisting duties in the back office.

MEDICAL ASSISTANT

Under the supervision of the professional medical staff, the Medical Assistant works in the front office and the back office of the Student Health Center to provide medical services to currently enrolled students.  This position also leads the work of Student Medical Assistants (SMAs) and provides direction in clinical procedures and in the design and implementation of health education and outreach on campus.

DESIRED QUALIFICATIONS
PATIENT SERVICES LEAD

  • Associates degree.
  • Two years of office or customer service experience in a healthcare setting.

MEDICAL ASSISTANT

  • One year experience providing direct patient care in a clinical setting, preferably in a college health clinic.
  • Experience demonstrating and/or instructing on clinical procedures.

ESSENTIAL FUNCTIONS
PATIENT SERVICES LEAD

  • Lead the work of SMAs including scheduling, assigning, instructing, and checking work; provide feedback to Adjunct faculty members about SMA performance; administer testing using new and/or existing testing materials.
  • Verify registration status of students and collect and/or update demographic information.
  • Using established patient triage protocol, complete telephone and in-person assessment of presenting problems, respond to questions and assist in accessing community resources by making appropriate referrals.
  • Schedule new, return, ancillary, and procedure appointments consistent with patient needs and scheduling guidelines.
  • Ensure completion, collection, and proper processing of all required documentation.
  • Enter patient utilization data and immunization status into database (Banner) and CHILD profile.
  • Orienting students and staff to front office clerical policies and procedures.
  • With clinic provider input, anticipate and complete quarterly clinic schedule using Excel.
  • Communicate various types of information to patients, referral agencies, physicians, and community members such as qualification for special programs, patient charge estimates, and clinical information as outlined by medical providers.
  • Initiate and maintain organization of patient chart; coordinate patient records, referrals, forms and charge documents to facilitate patient check-in and check-out.
  • Arrange for patient transportation to outside facilities.
  • Participate in preparation and maintenance of policies and procedures for area of responsibility.
  • Develop new documents and communications/outreach using Microsoft Word, Excel, Outlook, and social media as directed.
  • Participate in all required meetings and committees; may facilitate staff meetings.
  • Perform back office rotations as a Medical Assistant when needed including duties such as but not limited to:
    • Bringing patients from the waiting room to the exam room, taking vital signs, and confirming the chief complaint.
    • Under the supervision of and as delegated by the professional medical staff, coordinate and perform procedures including but not limited to: administering injections, venipuncture, laboratory testing and procedures, etc.; provide oversight of and instruction to SMAs performing these procedures.
    • Clean rooms, stock supplies, and provide other support functions.
  • Other duties as assigned.

MEDICAL ASSISTANT

  • Perform the duties of the front office including but not limited to: greeting patients, answering the phone, scheduling appointments, preparing charts, and accepting payments for services.
  • Use Triage protocol and forms to provide information to clinicians in order to facilitate appropriate appointment scheduling.
  • Perform the duties of the back office including but not limited to: bringing patients from the waiting room to the exam room, taking vital signs, and confirming the chief complaint.
  • Under the supervision of and as delegated by the professional medical staff, coordinate and perform procedures including but not limited to: administering injections, venipuncture, laboratory testing and procedures, etc.; provide oversight of and instruction to SMAs performing these procedures.
  • Clean rooms, stocks supplies, and provide other support functions.
  • Participate in mandatory training, including a two weeks training in September and weekly in-services/meetings throughout the year.
  • Assist SMAs in providing health education to the campus community through Peer Health Projects.
  • Update patient records and input patient utilization data using database and spreadsheet programs.
  • Participate in all required meetings and committees; may facilitate staff meetings.
  • May participate in hiring and scheduling the work of SMAs.
  • Other duties as assigned.

KNOWLEDGE, SKILLS, AND ABILITIES

  • Ability to work independently while under pressure with frequent interruptions and handle multiple tasks requiring a high degree of accuracy.
  • Skill and ability in performing clinical procedures including but not limited to: administering injections, venipuncture, laboratory testing and procedures, etc.
  • Skill and ability in performing front office management skills such as greeting patients; fielding calls and questions; and gathering, processing, information, and disseminating accurate information.
  • Skill and ability in providing instruction / demonstrations in clinical procedures in both a front and back office environment.
  • Ability to lead the work of others including assigning, instructing, and checking work.
  • Ability to enter patient utilization data with a high degree of accuracy using Banner and Access database programs and Excel spreadsheets.
  • Ability to work independently and to collaborate effectively with diverse groups and individuals.
  • Knowledge of basic medical terminology with an ability to understand and apply terms in the context of billing and utilization statistics and chart organization and cleaning.
  • Understanding of medical triage protocols and ability follow established protocol.
  • Excellent communication skills such as using tact when communicating with professional and student staff; strong patient or customer service skills.
  • Familiarity with Rapid Cycle change practices and quality improvement.
  • Technological skill and ability to work with standard office equipment and computer programs such as Microsoft Office (Word, Excel, Outlook, etc.), relational databases, web publishing software, etc.
  • Ability to create, organize, and maintain medical records and files with knowledge of applicable legal requirements.
  • Ability to prioritize daily work, handle competing demands, and meet deadlines.
  • Understanding of multiculturalism, and ability to work effectively with students and staff who are diverse in age, socioeconomic status, ethnicity, lifestyle, physical and mental challenges, sexual orientation and political values.
  • Ability to maintain confidentiality and adhere to pertinent federal and state laws regarding patient privacy.
  • Familiarity with local medical and community resources for effective collaboration with external as well as internal departments.

CONDITIONS OF EMPLOYMENT (Both positions)

  • Must provide proof of identity and employment eligibility within three days of beginning work.
  • This position is assigned to part of the college that is covered by a union shop provision and a collective bargaining agreement.  Employees are required to pay an amount equal to the fees or dues required to be a member of the union to the Washington Federation of State Employees within thirty days of their date of hire.
  • Must pass a pre-employment background check.
  • Must be licensed as “Medical Assistant – Certified” (WAC 246-827-0200) or “Medical Assistant – Certified Interim” (WAC 246-827-0220).
  • Must provide proof of Hepatitis B vaccination and TST (TB test within past 12 months).
