Administrative Assistant 4
The Department of Fish and Wildlife’s mission is to preserve, protect, and perpetuate fish, wildlife and ecosystems while providing sustainable fish and wildlife recreational and commercial opportunities. This position serves under the direction of the Management Analyst 4 within the Wildlife Program and conducts complex administrative duties as well as confidential and administrative support for the Wildlife Program’s Director, Deputy Director, and Division Managers.
DUTIES:
- Provides confidential and/or time-sensitive administrative support services for the Wildlife Program Director, Assistant Wildlife Program Director, and Wildlife Program Division managers.
- Directs and/or coordinates special projects.
- Supervises Wildlife Program customer service staff.
- Coordinates, reviews and edits Wildlife Program reports.
- Serves as back-up Wildlife Program Rules Coordinator.
- Assists with legislative coordination.
Work Setting, including hazards:
- Work is done in a busy office setting. There are multiple distractions and interruptions throughout the day. Most tasks involve sitting/standing at a desk and working on a computer.
Schedule (i.e., hours and days):
- This position normally works 8 am to 5 pm, Monday-Friday. This position may be required to work occasional weekends and evenings to meet workload demands.
Travel Requirements:
- Travel is minimal. May require an occasional in-state overnight stay.
Tools and Equipment:
- Computer, multi-line phone, office equipment.
Customer Interactions:
- Interaction occurs with internal and external customers. Must maintain professional demeanor and appearance.
Required Qualifications:
High school graduation and four years of progressively responsible experience of office/clerical, secretarial, bookkeeping, accounting, or general administrative work.
Preferred/Desired Qualifications:
Ability to absorb new information, understand, and interpret verbal and written direction, and question or clarify appropriately.
Ability to adapt to change and willingly accept new assignments or projects.
Ability to multi-task under stress and prioritize competing assignments in tight timeframes.
Understanding of Washington State laws, administrative rules, policies and procedure to include knowledge of OFM travel regulations, the legislative process, and the Administrative Procedures Act.
Advanced computer skills including Microsoft Outlook, Word, PowerPoint, SharePoint and Excel programs.
Demonstrated commitment to customer service, with excellent verbal and written communication skills (including the use of proper grammar, spelling, punctuation).
Demonstrated ability to apply LEAN concepts.
Knowledge of hunting regulations.
Possess a valid Washington or other State Driver’s License.
