The Water Resources (WR) environmental program, within the Department of Ecology is looking to fill a Secretary Senior position. This position is located at our Headquarters Building in Lacey, Washington.

The Secretary Senior position operates in an independent manner with minimum supervision and provides complex secretarial and administrative support to three sections in the Water Resources program: Communications and Outreach Section, Dam Safety and Wells Section, and Program Development & Operations Support.

Duties
The mission of the Water Resources program is to manage water resources to meet the needs of people and the natural environment, in partnership with Washington communities.

The Secretary Senior position is responsible for: 
The organizing and scheduling of complex meetings that involve internal and external customers, assisting managers and staff in registering for conferences, making travel arrangements, scanning records, receiving and screening calls for each section, serving as the primary backup for the Water Resources Reception Desk as needed, assisting with maintaining the section’s files, helping with public disclosure when requests come in for each section, administering the handling and billing for Dam Safety Fees and entering data into the Billing and Revenue Tracking System (BARTS), proof reading and finalizing correspondence and reports, is the Docket Management Coordinator for the WR program headquarter staff, acts as a backup to the program managers assistant, and assists with eTime.

Qualifications
Required Qualifications:

  • High school graduation or equivalent.
  • Two (2) years increasingly responsible office experience requiring knowledge of Microsoft Office Applications.
  • At least two (2) years of experience organizing and managing hard copies and electronic files.
  • At least two (2) years of experience formatting and proofreading documents (e.g. letters, reports, and correspondence) to meet agency (or Gregg Reference Manual) standards.
  • At least two (2) years of experience performing customer service duties that includes answering phones and resolving questions from the public over the phone and email.

Desired Qualifications:

  • Proficiency with MS Word, Excel, and Outlook.
  • Performing duties which require skill in answering phones, emails, and using a computer as a major tool for performing tasks such as scheduling appointments, using electronic calendars, creating documents using word processing software, entering data into databases, using the internet for basic searches, entering data into spreadsheets, or using desktop publishing software to create documents.

Insurance Benefits

Retirement and Deferred Compensation
State Employees are members of the Washington Public Employees’ Retirement System (PERS).  New employees have the option of two employer contributed retirement programs.  For additional information, check out the Department of Retirement Systems‘ web site.
 
Employees also have the ability to participate in the Deferred Compensation Program (DCP).  This is a supplemental retirement savings program (similar to an IRA) that allows you control over the amount of pre-tax salary dollars you defer as well as the flexibility to choose between multiple investment options.
 
Vacation (Annual Leave)
You begin accruing vacation starting your first month of employment. Since we value your loyalty, the amount of vacation you can accrue increases the longer you work with us. Washington State supports members of the armed forces with 21 days paid military leave per year. Vacation accrues for full-time employees per WAC 357-31-165.

Social Security
