The Washington State Department of Agriculture (WSDA) has been serving the state’s agriculture community and the public for more than 100 years. Through service, regulation, and advocacy, WSDA supports the viability and vitality of agriculture while protecting consumers, public health and the environment. We employ anywhere from 750-1,200 employees in fields like brand inspection, food safety, international marketing, environmental science, and information technology. While we do have offices statewide, this position is located in Olympia, WA.
 
We are searching for a knowledgeable, detail oriented individual to join our team as a permanent, full-time Customer Service Specialist 2 in our Organic Program. This position reports to the Customer Service Lead and performs a variety of duties including acting as the first point of contact for all client requests, implementing document control policies/procedures, conducting pre-submission review of applications, processing mail, and creating/maintaining customer accounts while ensuring data integrity.

Some of what you’ll be doing:

  • Conducts pre-review of applications, inspection reports and client responses; analyses risk and prepares file for full review by technical specialists.
  • Follows established procedures to issue surrender notices, letters of good standing and other correspondence as requested by the certification team.
  • Processes incoming and outgoing mail following established procedures; ensures confidentiality, accurate data entry and routing to appropriate staff.
  • Implements document control policies and procedures; maintains forms in electronic/hardcopy format and is responsible for ensuring outdated information is archived and current information/forms are distributed.
  • Maintains office file cabinets, ensuring labeling is clear and files are accessible. Identifies and implements solutions to office organization and systems, upkeeps and tracks field files and manages contract files.
  • Researches certification issues and prepares reports as directed by senior staff.
  • Generates reports and data, analyzes information and statistics and prepares for presentation as requested.
  • Independently resolves customer problems by identifying issues, determining procedural steps necessary to respond and consults with technical specialists to assist the customer.


 
What we are looking for:

  • High School graduation or GED.
  • Two years of progressively responsible experience in office/clerical, secretarial, bookkeeping, accounting, or general administrative work.


In addition to the above required qualifications, our ideal applicant will possess:

  • Associates degree or higher.
  • Experience navigating a regulatory environment.
  • Hands on knowledge or coursework in organic agriculture and/or organic handling.
