The Office of Superintendent of Public Instruction, located in downtown Olympia, has an immediate opening for a full-time, permanent, Administrative Assistant 3 in the Educator Effectiveness Office working with the Director. This opening is for 8:00 – 5:00, Monday – Friday, 40 hours and is open to anyone for application.

Duties

This position will be responsible for the following duties

  • Provide direct assistance to the Director of Educator Effectiveness and the Program Supervisor for National Board Certification by:
  • Providing administrative and program support for professional development, meetings, and travel for staff and contractors
  • Support document development and dissemination for Teacher and Principal Evaluation Program (TPEP) and National Board
  • Managing the TPEP and National Board budgets, including invoicing, reporting, and purchasing
  • Maintaining the TPEP and National Board websites and web-based tools for the program
  • Providing support for survey administration
  • Managing TPEP training records
  • Assist with monitoring and tracking conditional loan payments and National Board candidate status
  • Maintain National Board database
  • Coordinate National Board clock hour process


Other Duties/Activities:

  • Manage program’s working, permanent and archived files and records.
  • Maintain and update calendar of deadlines for activities.
  • Date stamp, prioritize, and distribute mail and faxes.
  • Answer, screen, and transfer calls.
  • Type and edit correspondence, compose letters, memos and forms.
  • Perform complex word processing tasks (merging, sorting, layout, spreadsheets, databases files, design and preparation of presentations and training materials).
  • Arrange meetings including room reservations, catering, and event reminders.
  • Prepare fiscal documents related to travel and reimbursement for team supervisors.
  • Prepare fiscal documents related to travel arrangements and reimbursements for task force and committee members.
  • Provide back up support for other administrative assistants within the office as necessary.
  • Some in-state travel will be required.
Qualifications

Requirements
 
This position requires a high school level of education or equivalent and at least three (3) years of increasingly responsible experience in office, clerical, secretarial, or general administrative work. A successful candidate will possess the following abilities, experience and skills, and qualities:

Abilities:

  • Initiate work projects, work independently, and follow-through on directions.
  • Take meeting minutes as required and transfer into an actionable to do list for program staff.
  • Perform well under pressure with high volume workload and short deadlines.
  • Work effectively as a team member and independently.
  • Support multiple staff members both in the office and in the field.
  • Communicate effectively.
  • Prioritize multiple projects.
  • Provide high standards of professional conduct and customer service skills (corresponding professionally with customers and agency personnel in person, over the telephone, or by e-mail.)
  • Create, draft, proofread, and edit letters, brochures, handouts, meeting materials, bulletins and other program documents.


Experience/Skills:

  • Microsoft Office Suite – Excel, Word, and Outlook (intermediate to expert level). Use Word and Excel for processing tasks, merging, sorting, and integrating text with graphics, spreadsheets and data files. Microsoft Access would be a plus.
  • Internet Explorer and FileMaker Pro.
  • All aspects of travel from scheduling flights, reserving car rentals and hotels to processing travel authorization and follow-up reimbursement paperwork for office staff, field staff, contractors and presenters.
  • Coordinating small to large off-site, state-wide meetings, annual trainings, and workshops, to include finding facilities, catering, audio and visual equipment needs and setup, rosters, handouts, associated travel needs for participants and management of all details regarding the event.
  • State compliance regulations, procedures and processing as related to purchasing, travel, contracts and meetings preferred.

The Educator Effectiveness Office oversees three statewide programs:  Teacher and Principal Evaluation Program (TPEP), National Board Teacher Certification (NB), and the Beginning Educator Support Team (BEST) program to support new teachers.  This position supports TPEP and NB.  Team members have the opportunity to work with teachers, principals, district administrators, and statewide education partners.

Compensation

The compensation level for this position is range 39, $33,336-43,344 per year and will depend upon experience, educational background, and qualifications. Washington State has a generous benefit package including health, dental, and life insurance, retirement, and an optional deferred compensation program.
