This permanent Management Analyst 3 position supports the mission of the program by providing professional and technical advice to the Program Manager and manages program-administrative functions.  This position also supports the basic laboratory function, the laboratory Quality System for our Food Safety & Consumer Services Laboratory.

Some of what you will be doing:

  • Provide administrative support to the program manager with program operation, system functionality, and research and compose correspondence for the supervisor(s). Exercises signature authority as authorized. Monitor program/federal projects expenditures. Keep the Program Manager apprised of problems.
  • Represents and/or communicated on program manager’s behalf at meetings, conferences, speaks for program manager on administrative policy matters.
  • Perform general administrative functions for the program, including but not limited, answering phone, opening mails, and receiving packages etc.
  • Provide lead support and coordination for solutions team utilizing lean principals.
  • Arrange travel and prepare travel paperwork for all program staff members (flight, registration, rental cars, etc.) when needed.
  • Organize meeting and prepare minutes as needed.
  • Submit employee appointment letters, payroll advisement, and benefits forms as necessary.
  • Maintain program files, develop archives schedules, and oversee program archiving.
  • Compose correspondence for supervisor and exercise signature authority on administrative correspondence. Proofreads material and makes grammar corrections.
  • Order, check-in, and follow-up the supplies ordering in a timely manner to ensure laboratory sufficient inventory maintained. Manage the process of obtaining the Certificate of Analysis (CoA) from manufacturers for products used in the laboratory.
  • When short staffed, help to check-in samples, lab supplies and send sampling coolers back as a back-up.
  • Must be able to lift between 25-50 lbs as part of ordering and delivering supplies.
  • This position researches RCWs/WACs/Policies and Procedures to determine if new and/or changes are required in laws, rules, policies and practices that impact the division.
  • Provides high level administrative support to Food Safety & Consumer Services Laboratory Program and its’ customers while conducting research and analyzing data to identify program needs.
  • Coordinate and monitor program State general funds, local funds, and Federal grants budgets.
  • Acts as one of the administrators for the LIMS (Laboratory Information Management System) and communicates directly with the software developer to resolve issues with the software as well as working with laboratory personnel for proposing enhancements to the system.


What we are looking for:

  • *Associate’s degree or higher in business administration, public or health administration, law, public health, computer science, lab science, or a related field.
  • A minimum of three years’ experience providing administrative program support, or comparable combination of graduate education and experience.
  • Demonstrated ability to communicate clearly, effectively, and professionally verbally and in writing with a diverse group of colleagues and customers.
  • Must be able to work with limited supervision and conduct complex, multi-dimensional analysis.
  • Must have expert computer skills including the Microsoft Office Suite and LIMS (Laboratory Information Management System) or similar database skills.
  • Must be able to perform budget analysis as well as charting and tracking of budgets.
  • Must be well organized and have exceptional leadership abilities in order to lead projects with limited supervision.


*Experience may be substituted year for year for education.
 
Preference may be given to candidates who have the following desired qualifications:

  • Experience in working in a regulatory laboratory or similar technical program.
  • Working knowledge in laboratory information or similar database.
  • Experience in monitoring state general fund, local fund and federal grant.
  • Experience in managing and support of facilities and advanced laboratory instrumentation.
