The Office of Superintendent of Public Instruction, located in downtown Olympia, has an immediate opening for a full-time Administrative Assistant 2 for the Title I/LAP & CPR section.
 
This position is open to anyone for application. 
 
This position will work in the Title I/LAP/CPR office providing administrative assistance to the Program Supervisors, and the general office.  This position performs secretarial duties such as independently planning, organizing and prioritizing work, monitoring and evaluating budget(s) status and initiating corrections, developing travel itineraries, compiling reports, studies, and/or surveys, office record keeping, filing, maintaining office procedures, standards, priorities, and deadlines. This person has frequent contact with OSPI staff, school districts, and the public. A crucial role of this position is to coordinate communications to the field as well travel and logistics for the Title I,A staff.  This position will need to annually attend up to 6 in-state meetings outside of Olympia.

Duties

Key Responsibilities:

  • Provide direct support to the Program Supervisors and Program Specialists.
  • Complete travel arrangements and finalize travel expense reports.
  • Coordinate workshops and materials for statewide trainings.
  • Proofread and edit routine bulletins and memorandums.
  • Resolves problems and responds to inquiries regarding procedures and services; answers telephones.
  • Works with communication distribution system; such as GovDelivery; Survey Gizmo and pdEnroller, to assist with drafting and finalizing correspondence prior to sending out.
  • Order supplies, equipment and printing needs.
  • Assist with iGrants form packages; manage the Title I/LAP application/assurance system; keeping an up-to-date-log of applications and budgets; monitor budget revisions.
Qualifications

Job Requirements:

  • At least two years of progressively responsible experience in office/clerical, secretarial, or general administrative work.
  • Ability to perform under pressure and high volume workload.
  • Experience creating, drafting, proofreading, and editing documents.
  • Ability to maintain excellent attendance and work 8 a.m.– 5 p.m.
  • Process and track all paperwork related to travel.
  • Experience organizing and prioritizing tasks to meet internal and external deadlines.
  • Experience with Microsoft Office Suite (Excel, Word, Outlook) as well as experience with Internet Explorer and FileMaker Pro.
  • Coordinate meetings, annual trainings, and workshops.
  • Work effectively both as a team member and independently.
  • Strong communication and organizational skills.
  • Great customer service skills (responding positive with school district staff, the public, and agency personnel in person, over the telephone, or by e-mail.)
  • A self-motivated individual with a positive work ethic.
  • Ability to support multiple staff members both in the office and in the field.


Additional Desirable Qualifications:

  • Understanding of state compliance regulations as related to purchasing, travel, contracts and meetings.

Compensation
 
The annual compensation for the position is range 35, $30,420-$39,312 per year and will depend upon experience, educational background, and qualifications. Washington State has a generous benefit package including health, dental, and life insurance, retirement, and an optional deferred compensation program.
