Administrative Assistant 3
Fulltime/Permanent 
We are recruiting to fill one (1) full-time permanent Administrative Assistant 3 position within the Licensing Division located in the Natural Resource Building, Olympia, Thurston County, Washington.

The mission of WDFW Licensing Division is to provide quality services and be an active partner with businesses, communities, and the public participating in or inquiring about commercial and recreational fishing, hunting, and wildlife viewing opportunities in Washington State.

The Licensing Division is the business agent for WDFW relating to the sales, distribution, systems, accounting, customer and retail dealer support and creation of sales channels to optimize agency revenue and compliance for the issuance of recreational and commercial licenses, permits and other products. Revenue projections for the 17-19 biennium exceeds $3.4M for recreational license sales through the Internet, phone and 600 retail dealers and $94M for 6000 commercial licenses.

Duties
Below is some of what you will do:

  • Maintains divisional contact information and ensures information is up to date and available to all stakeholders.
  • Receives and processes incoming and outgoing UPS and FedEx deliveries.
  • Maintains, organizes, inventories, and coordinates ordering of divisional supplies (i.e., general office supplies, toner, envelopes, name plates etc.)
  • Maintains, organizes inventories and coordinates ordering of divisional uniform orders.
  • Manages divisional surplus activities. Collects, documents, and announces surplus availability.
  • Serves as the divisions Records Retention Coordinator by managing, overseeing and bing the division’s point of contact for compliancy of paper and electric records by ensuring divisional activities support state policy and procedures regarding records retention and archiving practices.
  • Services as the division point of contact for all office moves and facility requests and ensures work requests are completed in a timely manner, billed accurately and requirements are fulfilled.
  • Serve as a divisional point of contact for all travel and motor pool coordination including payment or booking arrangements.
  • Serves as notary for certified records.
  • Prepares and facilitates the completion of personnel action forms and paperwork for resignations, termination, new hires, promotions, and/or transfers.
  • Assists management through the interview process by completing paperwork, making calls, sending emails and reserving rooms.
  • Manages Division Schedule and Reports on completion progress for division: annual evaluations, expectations and training plans;
  • Serves as division safety coordinator, ensures staff are trained in accordance with state law. Provides up to date staff rosters and safety information to division leadership.
  • Ensures timely ordering and setup of new IT equipment and system access is achieved for division staff.
  • Serves as division point of contact and for all IT inventory and communicates upgrade or maintenance information out to divisional staff (e.g., SharePoint migrations, email changes or system patches).
Qualifications
  • High School diploma or GED equivalent
  • Four (4) years of customer service experience
  • Ability to type 35 wpm with accuracy
  • Knowledge of Microsoft Office Excel, Word and Outlook
  • Excellent ability to proofread and edit documents and emails for grammar and spelling
Supplemental Information
Working Conditions
Duties typically take place in an office setting. The work schedule is Monday through Friday, 8 a.m. to 5 p.m.  Hours may be adjusted at the discretion of the supervisor. Travel may be required in some circumstances.

Insurance Benefits

Retirement and Deferred Compensation

Employees also have the ability to participate in the Deferred Compensation Program (DCP).  This is a supplemental retirement savings program (similar to an IRA) that allows you control over the amount of pre-tax salary dollars you defer as well as the flexibility to choose between multiple investment options.
 
Vacation (Annual Leave)
You begin accruing vacation starting your first month of employment. Since we value your loyalty, the amount of vacation you can accrue increases the longer you work with us. Washington State supports members of the armed forces with 21 days paid military leave per year. Vacation accrues for full-time employees per WAC 357-31-165.
