POSITION DESCRIPTION

Taylor Shellfish Farms manages thousands of acres of tidelands including leased and owned properties. The Property Administrator is responsible for the routine and daily work required to administrate those properties; including, coordinating property administrative actions with appropriate Taylor staff, communicating with lessors, maintaining and improving online and physical filing system, developing and maintaining recordkeeping systems, and reporting out important data.

DUTIES AND RESPONSIBILITIES

·         Setup, input, update, and maintain online and physical filing systems and technology and tracking databases

·         Verify, audit, and update data in physical and online filing systems and databases on a routine basis

·         Create workflow processes as needed to ensure work is accomplished in a timely manner, filing and data systems are up to date, and Taylor staff are notified at key points for each lease

·         Ensure leases and other property agreements are validly signed, notarized, filed, recorded, and the property owners and appropriate staff are notified

·         Add property information on to Taylor’s insurance and tax records

·         Routinely record property agreements, amendments, and surveys

·         Create and maintain online and physical map storage system

·         Retrieve and compile documents and data as requested

·         Ensure all lease payments are correct and follow the rent terms of each lease

·         Work with appropriate Taylor staff to ensure professional, timely, and effective property management, including: Lease & Acquisitions Manager; Director of Policy & Regulatory Affairs; Environmental Compliance Manager; Policy & Regulatory Coordinator; Accounting  Specialist; farm and division managers

o   Schedule and lead lease team meetings

o   Coordinate the monthly farmer lease production review

o   Notify appropriate Taylor staff on important milestones, changes, or additions

o   Provide regular updates on status of particular lease issues

·         Communicate with lessors and provide important documentation and information at Lessor’s request

o   Create and distribute holiday letter and farm update

o   Update contact information annually and provide email addresses for external newsletter

 

REQUIRED KNOWLEDGE, SKILLS AND ABILITIES

·         Exceptional client service skills

·         Excellent attention to detail and organization

·         Proven ability to manage projects with many moving parts

·         Ability to work independently, at times with little direction

·         Excellent interpersonal and communication skills

·         4-year college degree preferred

·         Experience in real estate or reading legal land descriptions a bonus

·         Reliable transportation and clean driving record required

·         Have a current Notary Public license or be willing to obtain license

PHYSICAL DEMANDS 

·         Ability to sit, stand and/or walk on uneven ground

·         The employee may be required to stoop, bend, kneel, twist, and squat

·         The vision requirements include: close vision, distance vision, peripheral vision, depth perception and the -ability to adjust focus

·         Must be able to speak and hear well enough to communicate with co-workers, supervisors and managers

·         Must be able to use hands for repetitive simple grasping, pushing, pulling and fine manipulation

·         Must be able to drive to multiple locations

·         Must have the ability to lift up to 50 lbs

·         Must wear proper safety gear when necessary
